Position Overview:

We are seeking a detail-oriented and proactive Warehouse Coordinator to manage the flow and storage of materials on site, ensuring smooth operations and compliance with a Large- scale construction project. This role is key to supporting construction activities by maintaining accurate inventory, overseeing material handling, and facilitating effective communication between logistics, site teams, and contractors.

Key Responsibilities:

  • Manage all material activities on site, including receipt, storage, preservation, and delivery to contractors, adhering strictly to Material Management Procedures.
  • Operate and maintain the AMUSE system for tracking material movements and inventory.
  • Coordinate with site security to regulate truck entry, ensuring organized and safe vehicular traffic flow within the site premises.
  • Organize and supervise unloading of materials upon arrival, engaging suitable subcontractors to ensure efficiency.
  • Verify incoming materials meet required quantity and quality standards, cross-checking against certificates and documentation.
  • Allocate and maintain designated storage areas based on a strategic storage allocation plan for optimal warehouse organization.
  • Keep detailed and up-to-date records of all materials received, stored, withdrawn, and handed over, including material certificates, orders, invoices, customs documents (if applicable), and material requisitions.
  • Monitor availability of materials to support definition and progress of work fronts.
  • Report any occurrences of damaged or lost materials promptly to the Project Manager and Construction Manager.
  • Archive material certificates and ensure bulk materials are accurately identified following PMI color coding systems (if applicable).
  • Initiate back charges to vendors where necessary and prepare supporting documentation for management review and action.
  • Maintain the preservation of equipment and materials in line with prescribed procedures.
  • Record daily hours worked by warehouse personnel and assist in manpower tracking to optimize warehouse operations.
  • Prepare and provide lists of spare parts to be handed over to the client upon project completion.

Qualifications:

  • Minimum of 5 years’ experience in construction site material management or warehouse coordination.
  • Proficient in English, both spoken and written, to ensure clear communication across teams.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Ability to work effectively on-site and adapt to dynamic project environments.
  • Familiarity with material management systems, preferably AMUSE or similar inventory management software.
  • Understanding of quality assurance requirements related to construction materials.
