ABOUT THE ROLE
Navia Freight is seeking an experienced Transportation Dispatcher to manage the scheduling, coordination, and execution of domestic freight movement for our customers. This role serves as the operational link between customers, carriers, and internal teams — overseeing the full transportation lifecycle from load scheduling and carrier assignment through delivery and billing. Working closely with the Import Manager, the Transportation Dispatcher is responsible for scheduling pickups and deliveries, securing reliable carrier capacity, tracking shipments in real time, and ensuring transportation costs are accurately billed and reconciled through CargoWise. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple shipments simultaneously in a fast-paced environment.

KEY DUTIES AND RESPONSIBILITIES
- Coordinate and schedule freight transport, including local Pickup & Delivery (P&D) operations, across LTL, Dry Van, Flatbed, and other equipment types, while ensuring on-time delivery between terminals, warehouses, and airport gateways
- Track shipments in real time, proactively communicating delays, exceptions, or delivery issues to customers and internal team members, and coordinating routing, scheduling, and delivery instructions with drivers and carriers
- Oversee day-to-day dispatch operations within CargoWise, ensuring shipment data, statuses, and documentation remain current and accurate
- Retain rate confirmations, bills of lading (BOLs), proofs of delivery (PODs), and accessorial charges in accordance with billing and audit requirements
- Manage transportation billing end-to-end, invoice customers based on trucking charges and agreed rates, process carrier invoices, and resolve discrepancies between quoted and billed amounts
- Escalate cost overruns, accessorial charges, or billing variances to the Import Manager
- Perform other duties as directed by management.
MINIMUM REQUIREMENTS
- 1–2 years of dispatch experience in freight forwarding, trucking, or logistics, with demonstrated proficiency in handling LTL, Dry Van, and/or Flatbed freight, including port drayage supporting import ocean container transportation
- Hands-on proficiency with CargoWise is strongly preferred, or comparable TMS experience with a demonstrated willingness to learn CargoWise
- Experience with carrier invoice reconciliation and/or customer transportation billing
- Excellent multitasking, problem-solving, and communication skills, with the ability to perform effectively in a fast-paced, deadline-driven environment
- High school diploma or equivalent required; logistics-related coursework or certification a plus
PREFERRED QUALIFICATIONS
- Prior experience as a dispatcher, freight coordinator, or logistics coordinator with a trucking company, carrier, freight forwarder, or 3PL, ideally including utility-scale solar or data center project transportation
- Demonstrated hands-on proficiency with CargoWise or a comparable freight forwarding/transportation management system (TMS)
- Working knowledge of DOT/FMCSA regulations and industry compliance standards, including oversized/flatbed freight requirements such as permits, tarping, and securement
- Associate or bachelor’s degree in logistics, supply chain, or international business
- Bilingual in Spanish and English is a plus
PHYSICAL REQUIREMENTS
- The job is performed indoors in a traditional office setting. Activities include extended periods of sitting while working at a computer and occasional fast-paced operations and events.
- The employee is occasionally required to stand, walk, sit, and reach with hands and arms.
- Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.
- Ability to communicate orally with customers, vendors, management, and co-workers. Regular use of the telephone, virtual meetings, and e-mail for communication. Hearing, vision, and speaking within normal ranges are essential for normal conversations, receiving ordinary information, and preparing or inspecting documents.
- Good manual dexterity for operating common office equipment, such as computers, calculators, and copiers.
- While performing the duties of this job, the employee is regularly required to sit; use hands to grasp, handle, or feel; and operate a computer keyboard, mouse, and telephone keypad.
