About us

ProPart USA supplies aftermarket parts for heavy industrial pumps to pulp & paper mills, mines, chemical plants and ethanol plants around the world. We stock a large inventory and ship it domestically, into Latin America, and overseas. We’re a small team just west of Austin. No layers, no bureaucracy, and real ownership from day one.

The role

You own customer orders from the moment the PO lands to the moment the parts ship. That means entering the order, catching what doesn’t match the quote, placing the vendor PO, setting realistic delivery dates, and chasing the ones that slip. When a customer wants to know where their parts are, you’re the one who knows.

It’s detail work with real consequences — a mill with a pump down is not waiting patiently, and a wrong Incoterm on an international shipment costs somebody real money. If you like being the person who catches the problem before it becomes one, you’ll do well here.

It is also the fastest way we know to learn supply chain end to end. More on that below.

How we work

Small team, no silos. Quoting, purchasing, the warehouse and sales all pull the same direction — when you need something, you walk over and ask. We’re not a grind shop and we don’t measure people by hours logged. Static shift, no nights, no weekends. Do the work, do it well, and go home to your family.

What you’ll do

– Review incoming customer POs against the quote and catch discrepancies before the order is processed

– Enter orders, build the invoice, and assemble the job folder — most within 24 hours of receipt

– Place vendor POs, check confirmations, and set delivery dates you can actually defend to a customer

– Send order confirmations, shipping schedules and proformas — most within 48 hours

– Maintain the backorder report and expedite the lines that are running late

– Keep the customer updated on delivery, and answer or escalate inquiries within 4 hours

– Handle partial shipments, part substitutions, change orders, prepays, warranty replacements and RMAs

– Work with the warehouse on picking and shipping, and with logistics on Incoterms and freight

– Keep customer and product records accurate and current

The team stuff

We’re 14 people, so everybody picks up something outside their title. For this seat that means sharing office admin duties with the rest of the team — answering phones, keeping office supplies and promotional materials stocked, and pitching in on projects. It’s a real part of the job, not fine print, and it’s shared.

What we’re looking for

– Attention to detail that holds up under a full queue. Most of this job is catching what’s wrong before it ships.

– Someone who chases the answer instead of waiting for it — vendors and freight forwarders don’t volunteer bad news

– Comfortable juggling 20 open orders at different stages without losing track of any of them

– Clear written and verbal communication — you’ll be writing to customers and vendors every day

– Solid in Microsoft Office, especially Excel, and quick to pick up a new system

– Supply chain, purchasing or wholesale distribution experience preferred

– Associate’s or Bachelor’s degree preferred, not required

Bonus points

– You speak Spanish — a real chunk of our business is Latin America

– You’ve worked with Incoterms, or shipped internationally and know what happens when the paperwork is wrong

– You’ve lived in an ERP or order-entry system and don’t need two weeks to find an open order

– You can look at a pump cross-section without panicking. We’ll teach you the rest.

Your first 90 days

We don’t hand you a desk and wish you luck. There’s a written 90-day training plan with weekly focus areas, documented procedures for every process, practice jobs before you touch live orders, and a weekly progress meeting with your trainer. Every topic gets signed off when you’re competent in it.

Weeks 1–2

ProPart, the industries we serve, and the brands we make parts for. The order system end to end. Stock order processing, start to finish, with practice jobs.

Weeks 3–4

Lead time orders. Incoterms, freight, payment terms and setting delivery dates. Reading quotes and pricing.

Weeks 4–6

Vendor purchase orders — domestic and overseas. Inventory pulls, impeller trims, delivery tracking and the backorder report.

Weeks 5–8

Inbound shipments. Shipment tracking & allocation, advance shipment notifications.

Weeks 9–12

The hard ones: change orders, cancellations, partial shipments, prepays, warranty replacements, RMAs and expediting.

By day 90 the goal is that you can run standard orders independently and accurately, with the complex ones in sight.

Room to grow

Most supply chain jobs put you in one lane. You buy, or you ship, or you plan inventory — and you learn the rest secondhand, if at all. This seat is the whole chain, because at our size there is nobody standing between you and any part of it.

Inside a year, if you want it, you will have worked on all of this firsthand:

– Purchasing and vendor management

– International freight

– Inventory planning and allocation, and how stock decisions ripple into lead times

– Quoting, pricing and margin, and why an order gets accepted or rejected

– Order management and expediting, from PO to delivered

– The customer side of all of it — because you’re the one who answers when they call

At a large company that breadth takes years and a few department transfers to collect. Here it takes asking. Nobody has to approve your curiosity — if you want to sit in on a vendor negotiation or understand why a quote was priced the way it was, you ask, and someone shows you.

The people who master this seat are the ones who move into senior purchasing, quoting and account roles as we grow. We’d much rather promote someone who already knows how our orders work than hire it from outside. That is a real path, and we mean it.

– Pay. $21.00 – $24.50 per hour, depending on experience.

– Schedule. Full-time, static shift, on-site in Hudson Bend (Austin), TX. No nights, no weekends.
