Position Summary

The Parts Department Specialist is responsible for supporting the daily operation of the dealership’s Service department. Within the Parts department this position handles incoming inventory, parts orders, service department parts preparation, work order picking, inventory control, and computer-based parts transactions.

The ideal candidate is organized, dependable, accurate, comfortable using computers, and able to manage multiple priorities in a busy dealership environment.

Primary Responsibilities

· Receiving & Stocking Parts

· Receive daily parts shipments and verify items against packing slips and purchase orders.

· Inspect shipments for shortages, damage, or incorrect parts.

· Enter received parts into the dealership computer system accurately.

· Label, organize, and stock parts in their proper locations.

· Process backorders, discrepancies, and returns as required.

· Maintain a clean and organized receiving and parts storage area.

Service Department & Work Order Parts

· Review service work orders and identify required parts.

· Pick and kit parts for upcoming service jobs so technicians have the correct parts ready when work begins.

· Stage and clearly label parts by work order, machine, or technician.

· Charge parts accurately to the correct work order.

· Communicate with the service department regarding missing, backordered, or incorrect parts.

· Return unused service parts to inventory and make the proper computer adjustments.

· Help keep technicians productive by having parts organized and ready when needed.

Parts Ordering

· Order parts from Bobcat and other approved vendors.

· Track open orders and backordered parts.

· Follow up on urgent parts needed for customers and the service department.

· Help prevent unnecessary freight costs and duplicate ordering.

· Monitor open purchase orders, special orders, and backorders.

Customer Orders & Counter Support

· Pick and prepare parts orders for customers.

· Assist with locating and identifying correct parts when needed.

· Process special-order parts and notify customers when orders are ready.

· Maintain professional and helpful customer service.

Inventory Control

· Perform regular cycle counts and inventory checks.

· Assist with annual physical inventory.

Computer & Administrative Work

· Accurately enter parts receipts, sales, transfers, returns, and adjustments into the dealership management system.

· Look up parts using Bobcat parts catalogs and other vendor systems.

· Maintain accurate work order and customer order information.

· Maintain appropriate paperwork and electronic records.

Qualifications

· Parts, equipment, automotive, trucking, agricultural, or dealership experience preferred.

· Bobcat or compact/construction equipment experience is a plus.

· Strong organizational skills and attention to detail.

· Comfortable working with computers and learning dealership software and electronic parts catalogs.

· Ability to accurately work with part numbers, quantities, purchase orders, and work orders.

· Ability to prioritize tasks in a fast-paced environment.

· Good communication and customer service skills.

· Dependable, punctual, and able to work independently as well as with the parts and service teams.

· Forklift experience preferred or willingness to become trained.

Physical Requirements

· Ability to lift and move parts and packages safely.

· Ability to stand, walk, bend, reach, and work throughout the parts warehouse during the workday.

· Ability to safely operate material-handling equipment after appropriate training.

Key Performance Expectations

Success in this position means:

· Service work-order parts are picked, kitted, and ready before technicians need them.

· Parts orders and backorders are actively followed up on.

· Parts and service work together to minimize technician downtime.

· Customer orders are picked correctly and on time.

· Computer transactions are completed accurately and promptly.

· Inventory is received and put away promptly and accurately.

· Inventory counts and bin locations remain accurate.

· The parts department remains clean, organized, and efficient.

Pay: $20.00 – $26.00 per hour
