For over 15 years, CLEAN has been delivering perfumes that are simple, trusted, and conscious. As the fragrance industry struggled to find ways to evolve and align with the green and eco-conscious movements, CLEAN saw the opportunity to advance its "clean beauty" platform. In 2015, the Company introduced CLEAN Reserve, a prestige fragrance collection that was one of the first to use sustainable ingredients, proving yet again to be an industry pioneer. Recognizing the relevance of its "clean beauty" platform with today's consumers, the Company changed its mission to focus solely on developing "clean" products across multiple beauty categories. In September 2018, CLEAN BEAUTY COLLECTIVE, INC., was unveiled. In the Fall of 2021, CLEAN BEAUTY COLLECTIVE will be expanding the CLEAN Reserve brand into new beauty categories launching a head-to-toe core cleansing line with references in the Hair, Face, and Body categories.

Position Title:             Operations/Logistics Coordinator

Location:                    Hybrid, NY Office on 45 West 45th Street

Reporting to:             Senior Manager, Operations & Director, Logistics & Customer Service

Direct reports:           None

 

SUMMARY DESCRIPTION:

The Operations Coordinator supports the Senior Manager, Operations in managing the company’s purchasing and production planning processes. This role serves as a key liaison between the Operations and Logistics teams, suppliers, and transportation partners, supporting the coordination of transportation, inventory movements, and shipping activities to ensure efficient supply chain operations.

This integral position works closely with Sales, Marketing, Product Development, Finance, Customer Service, and Operations to bring products to market and support day-to-day business operations. Key Operations responsibilities include creating new products and UPC codes, maintaining system hierarchies, creating Bills of Materials (BOMs) and Purchase Orders (POs), managing inventory transactions in SAP Business One, and supporting production planning and vendor scheduling. Key Logistics responsibilities include coordinating domestic and international transportation, monitoring shipments, managing import and export documentation, supporting inventory movements, reviewing freight invoices, and serving as a liaison between suppliers, warehouses, carriers, and internal teams to ensure the timely and efficient movement of goods throughout the supply chain.

 

Key Responsibilities

Operations:

·       Create item codes, UPC's, and GTIN's for new products in SAP and Item Master; distribute to all team members

·       Create bills of materials (BOMs) for new products in Excel and SAP, distribute to team members

·       Circulate and check artwork proofs for correct component codes from production vendors

·       Review open order reports and follow up with vendors to ensure all components and finished good POs are delivered on time and distribute weekly open order reports to relevant departments

·       Month End close PO’s that have been completed

 

Logistics and transportation responsibilities:

·       Arranges domestic transportation between fillers, component suppliers and fulfillment warehouses; connects with fillers and suppliers to obtain packing slips, resolve discrepancies, check shipment status and ensure that the freight is picked up promptly; serves as liaison between Logistics, Operations and suppliers.

·       Supports the Logistics and Operations teams with various inventory management tasks (physical inventory, inventory transfers, inventory entries and adjustments).

·       Assists the Operation team with receiving finished goods inventory at the warehouse and resolves all related discrepancies to ensure the product is received and registered accurately.

·       Quotes transportation options with various carriers; reviews quotes and identifies the most economical carriers and transportation methods.

·       Monitors transportation expenses (USPS, FedEx, DHL, trucking, Ocean and Air); reviews and codes for AP all logistics and transportation invoices.

·       Logs and monitors all imports.

·       Monitors all shipments in transit and provides shipment ETA to Operations.

·       Reviews export and shipping documents to ensure accuracy; coordination with the warehouse of all logistics matters related to exports (Customs documentation, IMO/DG declaration, SLI, Commercial Invoices and Packing Slips).

·       Addresses all shortages, damages and other shipping discrepancies; disputes all retailer’s chargebacks and logistics violations.

·       Assists with the Duty Drawback process.

·       Complete daily receipt of components, finished goods, transfer, and production orders using the SAP ERP system

·       Vendor/customer and office samples shipping

 

Skills and Experience Required

  • Ability to work and make decisions in a fast-paced, entrepreneurial business environment. 
  • Strong command of Excel, including advanced formulas, pivot tables, tables, Sumif, sumproduct, and lookups.
  • Experience working on an ERP system, preferably SAP Business One
  • Operations, Planning, and Inventory experience required
  • Experience working with MRP systems and processes
  • Strong analytical skills with the ability to quickly ensure work is highly accurate 
  • Strong interpersonal, written, and verbal communication skills
  • Team player who works well with teammates and focus on building the business
  • Flexible, adaptable with the ability to work under pressure to meet deadlines in a fast-paced office environment
  • 2 to 3 years Operations, Planning, or Supply Chain Experience
