Overview

We are seeking a Materials & Inventory Coordinator responsible for the flow and accuracy of materials throughout our manufacturing operation. This role ensures that incoming supplier materials are properly received, organized, and available to production teams while maintaining accurate inventory levels and a well-structured warehouse.

The right person is highly organized, detail-oriented, and comfortable managing both physical inventory and vendor communication. This position plays a critical role in supporting production throughput and maintaining operational efficiency.

Role Summary

This role owns the flow of materials inside the business—from receiving to shop floor availability. The objective is simple: production never stops due to missing, incorrect, or disorganized materials.

This is a hands-on, execution-focused position responsible for receiving, inventory accuracy, internal material movement, and vendor coordination. Success is measured by organization, accuracy, and production uptime—not activity.

Core Responsibilities

Material Receiving & Verification

  • Receive incoming supplier shipments
  • Verify quantities and documentation against purchase orders
  • Identify and resolve discrepancies immediately

Vendor & Purchasing Coordination

  • Communicate with vendors on order status, delays, and ETA updates
  • Handle purchasing of low-tier / consumable items
  • Track open purchase orders and follow up proactively

Inventory Management

  • Maintain accurate inventory counts and organization
  • Perform routine cycle counts and resolve discrepancies
  • Own physical inventory layout and storage logic

Production Support

  • Ensure all required materials are available at point of use
  • Move materials to appropriate shop floor locations
  • Act as the first point of contact for material shortages

Warehouse Ownership

  • Maintain a clean, organized, and efficient warehouse
  • Continuously improve layout and material flow

Kanban System Management

  • Implement and manage 2-bin / Kanban systems
  • Monitor replenishment triggers and maintain stock levels
  • Ensure both warehouse and production areas are aligned

Logistics & Issue Resolution

  • Coordinate RMAs, lost packages, and shipment issues
  • Communicate with couriers and customers to resolve problems
  • Ensure credits and replacements are handled accurately
