Job Summary:
Centergy is a leading Manufacturer’s Representative in the Commercial/Industrial HVAC equipment industry, with a specialized Venting & Mechanical Draft Division supporting boiler and water-heater venting, mechanical draft systems, generator exhaust, grease duct, and engineered stack applications. The Inside Sales/Estimator will be a dedicated member of Centergy’s Venting Division providing support throughout the sales and project lifecycle.
The primary purpose of this role is to take ownership of the detailed, office-based work required to move venting opportunities from bid request through project completion. The position will focus initially on bid and specification review, estimating, quote preparation, inside sales support, and project coordination. By managing these responsibilities with speed, accuracy, and consistent follow-through, this role will expand the Venting Division’s capacity and allow senior technical sales staff to spend more time developing customers, pursuing opportunities, and providing high-value technical support in the field.
This person will work closely with the two Mechanical Division estimators as part of a growing, collaborative Estimating Department. While the department is currently focused primarily on estimating, its responsibilities are expected to expand over time to include inside sales and post-sale functions such as submittals, order entry, customer service, and project support. The successful candidate should be highly organized, technically curious, service-minded, and comfortable managing multiple deadlines in a fast-paced team environment.
Job Duties / Essential Functions:
- Receive, review, and organize incoming bid requests; determine project scope, due dates, and applicability of Centergy’s venting and mechanical draft product offerings.
- Review mechanical drawings, specifications, schedules, details, addenda, and other bid documents to identify venting requirements, equipment quantities, materials, accessories, controls, and project-specific requirements.
- Maintain accurate bid calendars, opportunity records, priorities, and due dates; coordinate estimating workload with the broader Estimating Department and Venting Division sales team.
- Prepare detailed estimates, takeoffs, selections, and customer quotations using company and manufacturer tools; clearly identify scope, alternates, exclusions, assumptions, lead times, and special requirements.
- Coordinate with Venting Division technical sales staff, manufacturers, and other internal resources on mechanical draft calculations, venting system design, engineered solutions, field measurements, CAD/installation drawings, and other technical requirements as needed.
- Obtain and validate manufacturer pricing, freight, lead times, availability, and special-order requirements; incorporate current information into quotations and project planning.
- Respond to inbound customer requests for quotations, product information, pricing, availability, and project status in a timely and professional manner.
- Support bid follow-up by tracking project status, updating opportunity information, gathering competitive/customer feedback, and helping identify next actions for the sales team.
- Develop and maintain strong working relationships with contractors, engineers, manufacturers, and internal teams through accurate communication and dependable follow-through.
- After award, prepare and coordinate submittals and re-submittals, order entry, factory purchase orders, acknowledgements, releases, lead-time updates, and other required project documentation.
- Provide project management support by coordinating deliveries and shipment schedules, communicating with customers and factories, and helping resolve changes, shortages, warranty issues, returns, parts requests, and other project-related matters.
- Maintain complete and current job records, quote files, CRM/ERP data, correspondence, and project tracking information so that sales and operations teams have reliable visibility into each opportunity.
- Assist with process improvement, templates, estimating standards, and documentation that improve consistency, speed, handoffs, and scalability across the Estimating Department.
- Cross-train with Mechanical Division estimators and contribute to shared estimating workload when appropriate, while remaining primarily dedicated to Venting Division support.
- Perform other related duties and support functions as assigned in response to business and customer needs.
Skills / Qualifications:
- 2+ years of estimating, inside sales, project coordination, or related experience in HVAC, mechanical contracting, construction, engineering, or a technical product environment preferred.
- Ability to read and interpret mechanical drawings, construction plans, specifications, schedules, and technical product literature; prior plan/spec estimating experience strongly preferred.
- Mechanical aptitude and a strong interest in learning commercial venting, mechanical draft, combustion air, exhaust, and related HVAC systems.
- High attention to detail with strong organizational, prioritization, and time-management skills; ability to manage multiple bids and projects with competing deadlines.
- Strong written and verbal communication skills with a customer-service mindset and the ability to communicate clearly with contractors, engineers, manufacturers, and internal teams.
- Strong math and analytical skills with the ability to develop accurate takeoffs, estimates, pricing, and project documentation.
- Proficiency with Microsoft Office applications and PDF markup/review software; experience with Bluebeam, CRM/ERP systems, estimating software, or manufacturer selection tools is a plus.
- Basic AutoCAD or other drawing/CAD experience is preferred but not required.
- Ability to work both independently and collaboratively within a team-based sales and estimating environment.
- Dependable work ethic, ownership mentality, professional judgment, and consistent follow-through.
- Associate’s or Bachelor’s degree in engineering technology, construction management, business, or a related field is preferred but not required; relevant industry experience may substitute.
