Procurement and Shipping Executive
A leading company is currently seeking to recruit a Procurement and Shipping Executive to oversee procurement processes and coordinate shipping activities. The selected candidate will play a critical role in ensuring timely sourcing, accurate documentation, and effective vendor and logistics management.
Key Responsibilities
Procurement Operations:
Manage re-ordering of direct materials and goods
Maintain accurate consumption records to reflect usage trends
Review and update safety stock levels and re-order thresholds
Monitor product expiries and ensure procurement is aligned accordingly
Coordinate with administration to raise purchase orders
Track and follow up on direct orders to ensure timely delivery
Issue purchase orders to vendors and coordinate freight bookings and container handling
Administrative Support:
Maintain and update procurement tracking sheets
Organize documentation such as invoices and order confirmations
Supplier and Vendor Management:
Identify alternative suppliers and secure competitive quotations
Create and maintain vendor and material master data
Manage vendor deactivations or complaints where necessary
Maintain ongoing communication with suppliers regarding issues or concerns
Compliance and Documentation:
Collect and manage regulatory documentation (MSDS, TDS)
Support contract preparation and administration
Reporting and Analysis:
Generate procurement activity reports and identify cost-saving opportunities
Record savings achieved through procurement optimizations
Cost and Pricing Management:
Maintain accurate and updated pricing data
Required Qualifications and Skills:
A bachelor’s degree in business administration, supply chain management, or a related field is considered an asset
Previous experience in a procurement or buying role, preferably within manufacturing
In-depth knowledge of procurement principles and logistics coordination
Proficient in Microsoft Excel and familiar with electronic purchasing systems
Strong organizational, analytical, and time management skills
Excellent written and verbal communication in Maltese and/or English
Familiarity with ERP and ICT systems
Able to work independently and drive change proactively
Strong teamwork and collaboration mindset
