Position Summary
The Shipping & Logistics Specialist supports the day-to-day movement of inbound and outbound freight for Midwest Specialty Products, a Winneconne, Wisconsin-based nonwoven converting manufacturer. This role is responsible for scheduling shipments, securing carrier quotes, preparing shipping documentation, coordinating inventory and material transfers between the main facility and two offsite leased warehouses, maintaining accurate open order and on-time delivery reporting, and processing freight invoices. The Shipping & Logistics Specialist works closely with Production, Customer Service, Accounting, and outside carriers/3PLs to ensure orders ship accurately and on schedule and also serves as backup front desk coverage. This position reports directly to the Logistics Director.
Essential Duties & Responsibilities
Shipment Scheduling & Carrier Coordination
- Schedule inbound shipments with suppliers and carriers.
- Request freight quotes from 3PLs/carriers and award shipments based on cost, service, and transit requirements.
- Coordinate inbound international shipments, including required documentation and customs/broker communication.
Shipping Documentation & Warehouse Support
- Prepare packing slips and Bills of Lading (BOLs) for outbound shipments in the warehouse.
- Confirm small package shipments are packed, ready, and labeled correctly prior to carrier pickup.
- Attach packing slips to shipments and maintain organized BOL records in the warehouse.
- Prepare and process return shipments (RMAs/customer returns).
- Collect BOLs and pick tickets from the previous day’s shipping activity and route for filing/accounting.
Offsite Warehouse & Inventory Coordination
- Manage inventory across two offsite leased warehouse locations.
- Perform material transfers between the facility and offsite warehouses as needed to ensure raw materials and finished goods are in the correct location and ready in time for shipment.
Order Management & Reporting
- Update the Open Orders list daily in preparation for the 9:00 a.m. production meeting.
- Identify and communicate which orders are eligible to ship each day.
- Partner with Customer Service to identify and coordinate opportunities for early shipment.
- Compile and distribute the Open Orders report every Friday afternoon.
- Complete and distribute the On-Time Orders report monthly.
Freight Accounting
- Enter freight invoices and match to the Freight Accrual.
- Dispute and resolve invoicing discrepancies with carriers.
Administrative
- Provide front desk coverage/responsibilities as assigned, including greeting visitors and handling incoming calls.
Qualifications
- High school diploma or equivalent required; associate degree or coursework in logistics, supply chain, or business preferred.
- 1–3+ years of experience in shipping/receiving, logistics coordination, or a related warehouse/office role, preferably in a manufacturing environment.
- Working knowledge of LTL, small package, and international/import shipping documentation (BOLs, packing slips, commercial invoices) preferred.
- Proficiency with Microsoft Excel and Outlook; experience with ERP systems (Global Shop Solutions a plus) and/or TMS software helpful.
- Strong attention to detail and accuracy, particularly with shipping documentation and freight accrual matching.
- Effective written and verbal communication skills for coordinating with carriers, customers, and internal departments.
- Ability to prioritize and manage multiple daily deadlines (e.g., production meeting cutoffs, Friday reporting).
- Comfortable working in both an office and warehouse environment.
Physical Requirements
- Ability to walk/stand for periods of time in a warehouse environment.
- Ability to occasionally lift up to 25–40 lbs (e.g., handling packing materials or small package shipments).
- Regular use of a computer and phone for reporting, invoicing, and carrier communication.
Pay: $50,000.00 – $55,000.00 per year
