Job Purpose

The Shipping and Clearance Officer are responsible for managing and coordinating all import and export logistics, customs clearance activities, and shipping documentation. The role ensures the timely, compliant, and cost-effective movement of goods and materials while maintaining strong coordination with freight forwarders, customs authorities, and internal stakeholders.

Key Responsibility:

1.      Shipping & Logistics Management

·      Manage all shipping, customs clearance, and logistics activities for imported and exported goods.

·      Coordinate with freight forwarders, transporters, shipping lines, and clearing agents to ensure smooth shipment execution.

2.      Documentation & Compliance

·      Prepare, review, and verify shipping and customs documentation including invoices, packing lists, bills of lading, certificates of origin, insurance documents, and other required permits.

·      Ensure full compliance with local and international import/export regulations, customs laws, and company policies.

3.      Shipment Tracking & Coordination

·      Track shipments from origin to final destination and ensure timely clearance and delivery.

·      Coordinate closely with the procurement team to ensure alignment between supplier invoices, purchase orders, and shipping documents.

 

4.      Issue Resolution & Claims Handling

·      Resolve shipment delays, clearance issues, and documentation discrepancies with customs authorities and third parties.

·      Handle claims related to damaged, short, or lost shipments and follow up with insurers or logistics partners.

5.      Data Management & Record Keeping

·      Maintain accurate and updated records of shipments, customs duties, taxes, and logistics-related documents.

6.      Cost Optimization & Continuous Improvement

·      Monitor, analyze, and recommend improvements to shipping costs, routes, and clearance procedures.

Undertake additional responsibilities as required, in line with the scope, level, and objectives of the role.

Job Requirements:

·      Education: Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.

·      Experience: 2–3 years of experience in shipping, logistics, or customs clearance, preferably within FMCG or industrial environments.

·      Technical Skills: Strong knowledge of import/export regulations, customs procedures, and trade compliance.

Good understanding of Incoterms and international shipping documentation.

Proficiency in logistics tracking systems, ERP platforms, and MS Office applications.

Experience coordinating with freight forwarders, customs brokers, shipping lines, and government entities.

Knowledge of freight rates, cargo insurance, and handling procedures.
