Job Description
Assist with pricing, tendering, budget development, purchase order preparation, invoice processing, and expediting for hotel, resort, and vacation ownership FF&E and/or OS&E purchasing.
This is an in-person role with the possibility of working up to 3 days per week at home. While flexibility is available, this position is not eligible for fully remote work.
Responsibilities
- Participate with project team in specification review and quantification of furniture counts
- Attend project coordination meetings and client calls to support procurement activities
- Assist with obtaining pricing from vendors for budget development based on design drawings and specifications
- Assist in validating vendor quotes to ensure compliance
- Assist in organizing project documents, creating tender packages and analyses and budget development
- Prepare purchase orders based on budgets, specifications, schedules, quotes, and project requirements
- Expedite vendor submittals and coordinate and document interior designer reviews and approvals
- Review and update expedite reports and monitor vendor freight and deliveries as required to comply with project completion schedule
- Reconcile invoices against purchase orders and prepare invoice submissions for approval
- Assist with furniture reviews, visit manufacturers facilities and travel as required
- Manage daily email correspondence, responding promptly to inquiries and sending timely follow-ups as required by projects
- Other duties as required
Skills and Qualifications
- Advanced computer skills including Microsoft Office 365 and ability to learn and utilize new software.
- Excellent verbal and written communication skills
- Proficient organizational skills with the ability to effectively manage and prioritize workload on multiple projects
- Strong attention to detail and ability to learn quickly and adapt to changing requirements
- Problem solver who takes initiative
- Post-secondary education, preferably in accounting, business administration, or hospitality and tourism management
- Minimum 2 years prior work experience, preferably in an office environment
- Must be eligible to work in Canada
