Position Summary:
We are seeking a detail-oriented and highly organized Order Entry Specialist to join our team. This role is responsible for accurately processing orders, managing customer interactions, and ensuring seamless communication between internal teams and clients. The ideal candidate will handle order entry in our ERP system, process payments, provide freight quotes, verify order details, and troubleshoot any order-related issues while maintaining a high level of professionalism.
Location and Reporting Relationships:
The Order Entry Specialist is based in Miami, FL and reports to the Order Entry Sr. Supervisor.
Essential Duties and Responsibilities:
Accurately enter and process orders in the ERP system, ensuring all details are correct.
Coordinate with logistics to provide freight quotes and manage large orders.
Verify and submit complete order information to production.
Communicate with sales teams and customers to clarify order details and resolve discrepancies.
Respond to customer inquiries and maintain accurate order records.
Manage vendor portals for order processing and updates.
Send payment requests, track prepay orders, and follow up on outstanding payments.
Collaborate with accounting to resolve payment issues.
Generate reports and assist with department organization.
Support team members with workload distribution and department tasks as needed.
Requirements:
Highly efficient, organized, and detail-oriented.
Quick learner with the ability to adapt to a fast-paced environment.
Strong follow-up skills and ability to manage multiple priorities.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Proactive problem-solving skills and resourcefulness.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Associate’s Degree preferred.
Bilingual in English/Spanish is a plus but not required.
