Role Description:

The Operations & Logistics Coordinator is a full-time or part-time, on-site role based in Geelong, VIC. This position is will provide direct administrative coordination support to the Operations Manager, assisting with purchasing, logistics, inventory management, production scheduling and the day-to-day flow of operational information across the business. Working closely with suppliers, freight providers, production personnel and internal stakeholders, you will help ensure materials, products and documentation are accurately managed and move efficiently through the organisation. As RAPP Australia introduces a new Enterprise Resource Planning system, this role will also play an important part in supporting the accuracy, structure and use of operational data within the business.

Key Responsibilities:

  • Supporting production scheduling and coordinating material availability.
  • Raising, issuing and following up purchase orders in line with company procedures.
  • Communicating with suppliers, freight providers, customers and internal teams.
  • Coordinating domestic and international freight, transport bookings, and freight documentation.
  • Monitoring deliveries and helping manage delays or supply issues.
  • Supporting inventory accuracy, stock level monitoring, replenishment planning and stock takes.
  • Maintaining accurate purchasing, inventory and operational records within the ERP system.
  • Assist with operational reporting, KPI tracking, and process documentation.
  • Support the introduction and ongoing use of RAPP Australia's new Enterprise Resource Planning System.
  • Working with the Operations Manager to identify process improvements, bottlenecks and opportunities to improve operational efficiency.

About You:

We are looking for someone who is organised, proactive and detail-oriented, with strong administration, coordination and follow-through skills. You will be confident communicating with suppliers, freight providers, customers and internal stakeholders, and comfortable working with systems, data, documentation and operational processes. You will bring strong attention to detail, sound planning and prioritisation skills, a practical approach to problem-solving and the ability to take ownership of tasks through to completion.

Experiences and Skills:

Experience in the following areas will be highly regarded.

  • Purchasing, procurement or supplier coordination.
  • Freight, logistics or transport coordination.
  • Inventory control, stock management or stock take support.
  • Production scheduling or manufacturing administration.
  • ERP/MRP systems, business systems, or operational data entry.
  • ISO-certified, qualified-controlled or process-driven environments .
  • Supporting continuous improvement through process documentation, workflow accuracy, problem-solving or operational efficiency initiatives.

While previous experience in operations, logistics or manufacturing will be highly valued, the right attitude is just as important. We are looking for someone reliable, adaptable and willing to learn, with the ability to bring structure, accuracy and initiative to a busy operational role.
