Key Responsibilities
Ensure that all shipments processing operations are carried out in an efficient and timely manner and all material scanning captures all critical checkpoints (all checkpoints must adhere to GSOP standards to ensure 100% accuracy and timely availability of data on the network) and achieves the best possible transit times.
Responsible to check shipments and pieces conditions as well as paperwork quality and packaging
Ensure that all AWB’s are imaged and uploaded on the system. Check report at the end of the shift to confirm this.
Ensure that all shipments on the Process Dashboard are actioned (manifested and reweighed)
Ensure that all shipments are prepared to ‘perfect shipment’ standards, i.e.:
- AWB & Invoice completion
- Insurance or any other special services are captured on the system.
- Appropriate Service alert labels are affixed.
- CI checkpoint is captured for all non-stackable shipments.
- Ensure any ICS.2 or denied parties shipments are placed on hold, if not yet released
Responsible for the re-weighing of shipments by ensuring accurate weighing, capturing of dimensions and labelling of pieces.
Ensure that a printed reweigh PID label is attached to each individual piece.
Responsible for updating of systems with shipment and piece information (PID) using DCVS.
Responsible for the sorting of all outbound material into designated areas ensuring the appropriate cut-off times are met.
Preparation of all international bags and seals using the appropriate DHL Systems.
Responsible for the bagging of all outbound material into correct destination bags and cages.
Responsible for the segregation of High Value, and special Certificate clearance shipments. Capturing of the appropriate ST intercept checkpoint on the bag or cage containing such shipments.
Assist with Debrief process when required.
Complete Cash recon as per DEBRIEF process.
Capturing of Banking when required. (This can only be done by someone who has not done the debrief)
When assisting with Debrief, ensure that all credit card machine transactions have been batched and banked by the end of the day and that these machines have been returned to the charging stations and signed back
Responsible to security check all shipments of a suspicious nature and always following standard DHL security procedures.
Ensuring that all suspicious shipments, that could not be physically inspected, are alerted to the Supervisor and gateway for further X-ray and Customs inspection as required
Always follow Global Standard Operating Procedures.
Ensure quality is always integrated into the business.
Assist supervisors / managers with daily tasks as required on Ad Hoc basis
Liaise with Operations Supervisor, Commercial staff team, Customer service team and IT and 3rd party partners for support when necessary to ensure that all issues are resolved promptly with minimal disruption to the service
Back up for Collection/ deliver shipments within specified time by planning routes, liaising with external departments, timely communications, etc
Follow and achieve compliance with established procedures and ensure proper usage of operations processes and policies
Resolve recurring issues faced during delivery as per defined processes, systems and methods
Support team members with less experience in different/ difficult situations.
Requirement of the job
Experienced Required
MSCE Pass, professional certificate/ diploma an added advantage
Valid driver’s licence Class B
PC Literacy
Knowledge of DHL Operations Systems
Excellent Written & Verbal Communication skills.
At least 2 years of experience in a similar role
Adhere to work timings, policies and procedures of the company, housekeeping guidelines and ensure that self is well always groomed as per DHL dress code.
Provide timely and effective administrative support to the Operations department
