Job Description: Operations Analyst

Position Summary

We are seeking a detail-oriented and proactive Operations Analyst with 3–5 years of experience to join our dynamic team. In this role, you will serve as a key player in optimizing end-to-end order management processes, analyzing shipping costs, and ensuring product margins are accurately calculated. As the primary liaison between internal stakeholders, logistics partners, and customers, you will oversee complex data sets, maintain multiple order trackers, and contribute to strategic decision-making in a fast-paced global environment.

Key Responsibilities

Order Management & Coordination
Oversee complex order workflows, including purchase order creation, sales order creation, and sales invoicing.
Allocate inventory to sales orders, manage product SKUs, and handle cost sheets in internal systems.
Communicate daily with customers, internal teams, and 3PLs to manage timely shipments and order inquiries.
Freight & Margin Analysis
Analyze and optimize shipping costs across air, ocean, and inland drayage to maximize product margins.
Calculate gross and net product margins, taking into account brand royalties, tariffs, and duties.
Evaluate the impact of Incoterms on freight charges and ensure accurate reflection in cost models.
International Logistics & Compliance
Manage global shipments—monitoring container movements, coordinating customs clearing, and providing real-time status updates to cross-functional teams.
Understand and apply Incoterms for different customers to align shipping responsibilities and cost allocations properly.
Collaborate with overseas production teams to ensure on-time fulfillment and proactively address potential delays.
Data Analysis & Reporting
Maintain and update multiple order trackers (daily/weekly) to provide real-time visibility on container status, product availability, and shipment timelines.
Perform complex Excel functions (e.g., VLOOKUP, pivot tables) to validate inbound/outbound EDI data, identify discrepancies, and streamline workflows.
Prepare ad-hoc presentations and orderly reports for senior leadership, leveraging tools such as PowerPoint, Power BI, and Microsoft Dynamics.
Cross-Functional Collaboration
Partner with finance teams to review dynamic supply chain charges (e.g., demurrage, detention) and incorporate them into cost models.
Work closely with sales teams to communicate product availability, pricing fluctuations, and any operational challenges affecting customer deliveries.
Engage with 3PLs and freight forwarders to troubleshoot shipment issues and ensure compliance with all shipping regulations.
Continuous Improvement
Identify and implement process improvements in order management and logistics workflows to reduce errors, increase efficiency, and optimize margins.
Stay up to date on industry best practices, evolving Incoterms, and emerging technologies to support the company’s operational excellence goals.

Qualifications

Bachelor’s degree in Business, Supply Chain Management, Operations, or related field (or equivalent experience).
3–5 years of experience in order management, logistics, or operations—preferably in a high-volume, global environment.
Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, complex formulas) and familiarity with EDI data processing.
Solid understanding of Incoterms, customs clearing processes, and international shipping requirements.
Experience working with ERP systems (e.g., Microsoft Dynamics) and business intelligence tools (e.g., Power BI) is a plus.

Problem-Solving: Able to troubleshoot operational issues, adapt to changing requirements, and take initiative to implement solutions.
Attention to Detail: Keen eye for spotting discrepancies and ensuring data accuracy in tracking systems and cost calculations.

Job Type: Full-time

Pay: $72,000.00 – $75,000.00 per year
