The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of freight forwarding activities. This role is responsible for overseeing logistics planning, coordinating shipments, managing office administration, and maintaining compliance with international and domestic trade regulations. The Office Manager will work closely with internal teams, clients, and external partners to facilitate seamless operations while ensuring excellent customer service.
Key Responsibilities:
Operations & Logistics Management
Plan, coordinate, and monitor shipments to ensure timely and efficient delivery of goods.
Oversee daily freight forwarding activities, ensuring adherence to operational procedures.
Work closely with customs brokerage departments to optimize processes and improve efficiency.
Resolve any issues or delays that arise during the shipping process while maintaining compliance with relevant regulations.
Administrative & Financial Management
Manage office budgets, prepare monthly financial estimates, and conduct P&L reviews.
Implement and maintain office administrative systems and operational procedures.
Order and maintain office supplies to ensure smooth daily operations.
Handle correspondence, complaints, and inquiries professionally and efficiently.
Human Resources & Staff Development
Oversee staff recruitment, performance evaluations, and employee development initiatives.
Organize and lead team meetings to review KPIs, operational flow, and strategic objectives.
Delegate tasks effectively to ensure workload is distributed fairly among team members.
Plan and implement staff training programs to enhance skills and improve processes.
Organize onboarding and induction programs for new employees to facilitate a smooth transition.
Compliance & Customer Satisfaction
Ensure compliance with all relevant laws and regulations related to international and domestic trade.
Maintain up-to-date knowledge of California health and safety policies and ensure adherence.
Address and resolve customer concerns promptly, ensuring high levels of satisfaction.
Liaise with internal teams, suppliers, and clients to strengthen business relationships.
Travel & Logistics Coordination
Arrange and oversee transport and accommodation for staff as needed.
Assist the team in operational tasks, such as file management, billing, client communications, and scheduling trucking pickups.
Qualifications & Skills:
Proven experience in freight forwarding, logistics, or supply chain management.
Strong leadership and team management skills.
Excellent organizational, problem-solving, and multitasking abilities.
Proficiency in budgeting, financial reporting, and P&L analysis.
Knowledge of customs brokerage processes and compliance regulations.
Effective communication and interpersonal skills to interact with internal and external stakeholders.
Proficiency in office management software and freight forwarding systems.
Ability to work in a fast-paced, high-pressure environment.
Preferred Qualifications:
Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.
Experience working with international trade regulations and customs clearance processes.
Familiarity with freight management software and ERP systems.
