As our operations continue to grow, we are seeking a dependable, organized, and detail-oriented Mailroom Clerk to support incoming and outgoing mail, shipping documents, freight paperwork, package handling, and general administrative activities.

Position Overview

The Mailroom Clerk supports the daily flow of mail, documents, packages, and shipping-related materials throughout the company. This position is responsible for receiving, sorting, distributing, scanning, recording, and preparing mail and documents while helping maintain accurate records and an organized office environment.

The ideal candidate is organized, reliable, detail-oriented, and comfortable working with both physical documents and computer-based systems. Previous mailroom, office, shipping, or logistics experience is preferred but not required.

Key ResponsibilitiesMailroom Operations

  • Receive, sort, and distribute incoming mail, correspondence, and packages.
  • Process outgoing mail, packages, documents, and shipments according to company procedures.
  • Sort mail and packages by department, recipient, location, or priority.
  • Deliver incoming correspondence and packages to appropriate employees or departments.
  • Prepare outgoing mail and packages for pickup by carriers and postal services.
  • Maintain organized mailroom areas, shelves, bins, and distribution points.
  • Track incoming and outgoing packages when required.
  • Verify recipient information, addresses, labels, and shipping details.
  • Identify damaged, misdirected, or incorrectly addressed packages and report issues appropriately.

Shipping & Documentation Support

  • Assist with preparing bills of lading, shipping forms, delivery documents, and other freight-related paperwork.
  • Scan, copy, file, and organize shipping and administrative documents.
  • Maintain accurate records of incoming and outgoing shipments.
  • Assist with tracking packages, documents, and deliveries.
  • Coordinate with shipping carriers and delivery personnel as needed.
  • Distribute freight-related paperwork to drivers, dispatch, operations, and other departments.
  • Assist with document preparation for customer orders and transportation activities.
  • Report missing or incomplete documentation to the appropriate team member.

Administrative Support

  • Enter and update information in company systems and spreadsheets.
  • Maintain organized electronic and physical filing systems.
  • Prepare labels, forms, reports, and routine correspondence.
  • Assist with data entry and document management.
  • Answer basic questions regarding mail, packages, and document distribution.
  • Communicate with employees, drivers, carriers, vendors, and other business contacts as needed.
  • Maintain confidentiality of company, customer, and shipping information.
  • Support general office and logistics administrative activities as assigned.

Quality & Organization

  • Ensure mail and packages are handled accurately and efficiently.
  • Double-check addresses, recipient information, and shipping documentation.
  • Maintain accurate logs and records.
  • Keep the mailroom and surrounding work areas clean, organized, and secure.
  • Follow company procedures for handling confidential documents and packages.
  • Report delivery problems, damaged items, missing packages, or documentation discrepancies.
  • Support process improvements that increase mailroom and administrative efficiency.

Qualifications

  • High school diploma or equivalent preferred.
  • Previous experience in a mailroom, office administration, shipping, receiving, warehouse, logistics, or customer service is preferred but not required.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Basic computer skills and familiarity with Microsoft Office or Google Workspace.
  • Ability to perform accurate data entry and maintain records.
  • Strong written and verbal communication skills.
  • Dependable, punctual, and professional work ethic.

Physical Requirements

This position may require regular movement and handling of mail, packages, and office materials.

Employees should be able to:

  • Bend, reach, and move packages between shelves, carts, and workstations.
  • Push and pull mail carts or package containers.
  • Perform repetitive sorting, scanning, filing, and data-entry tasks.
  • Safely handle packages and documents according to company procedures.
