Job Summary

We are seeking a highly organized and detail-oriented Logistics Specialist to manage and coordinate logistics operations, including shipment planning, freight forwarding, import and export activities, and delivery fulfillment. The role will ensure efficient logistics processes, accurate ERP transactions, competitive freight costs, and timely delivery while coordinating closely with Sales, Warehouse, Finance, Production, Purchasing, and external logistics providers.

Key Responsibilities

  • Coordinate end-to-end logistics activities, including shipment planning, transportation, delivery, and follow-up with customers and suppliers.
  • Review material availability against planned sales orders and coordinate delivery schedules accordingly.
  • Manage import and export processes, ensuring compliance with applicable procedures, regulations, and required shipping documentation.
  • Coordinate with freight forwarders, shipping lines, transport companies, and customs-related parties to ensure smooth shipment execution.
  • Obtain and compare freight quotations from different logistics suppliers and negotiate competitive rates to achieve the best shipment prices and service levels.
  • Select transportation and freight forwarding providers based on price, service quality, location, lead time, and shipment requirements.
  • Process and maintain accurate sales orders, invoices, delivery notes, shipment transactions, and related records through the ERP system.
  • Coordinate with Finance to confirm payment status prior to invoicing and follow up on shipped-but-not-invoiced orders.
  • Coordinate with Warehouse, Production, Purchasing, and Sales teams to ensure materials are available and customer delivery commitments are met.
  • Monitor shipment status, delivery timelines, proof of delivery, delays, and delay reasons, while maintaining accurate records and proactively resolving logistics issues.
  • Maintain logistics reports and records using advanced Excel, analyzing shipment costs, delivery performance, lead times, and supplier/freight forwarder performance.
  • Identify opportunities to reduce logistics costs, improve lead times, and enhance overall supply chain efficiency.

Qualifications

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 3–4 years of relevant experience in logistics, supply chain, or freight forwarding.
  • Proven experience in freight forwarding and shipment coordination.
  • Strong understanding of import and export processes, procedures, and documentation.
  • Experience dealing with freight forwarders, shipping companies, transport providers, and logistics suppliers.
  • Experience in a manufacturing or industrial environment is preferred.
  • Excellent negotiation and communication skills.
  • Strong organizational and coordination abilities.
  • Strong attention to detail.
  • Problem-solving and decision-making skills.
  • Good knowledge of freight forwarding operations and international shipments.
  • Ability to evaluate and compare freight quotations and negotiate competitive shipping rates.
  • Understanding of supply chain best practices and logistics KPIs.
  • Knowledge of relevant logistics regulations and ISO requirements is an advantage.
  • Strong hands-on experience with ERP systems for sales orders, invoicing, delivery notes, shipment transactions, and logistics tracking.
  • Excellent Microsoft Excel skills, including data analysis, reporting, tracking, and cost comparison.
  • Excellent English communication skills, both written and spoken.
  • Ability to work independently and manage multiple logistics processes with minimal supervision.
  • Ability to proactively identify shipment delays and take corrective action.
  • Ability to analyze logistics data and identify cost-saving and process-improvement opportunities.
