About the Job:

As a Logistics Officer, you will be responsible for coordinating the end-to-end logistics operations supporting SOZO Brain Center’s international activities. You will ensure the efficient movement of medical devices, consumables, and related materials while working closely with internal teams, customers, manufacturers, logistics providers, and international partners.

The role requires excellent organizational skills, attention to detail, and the ability to coordinate multiple priorities within a dynamic international healthcare environment.

Duties and Responsibilities:

International Logistics & Shipping:

  • Coordinate domestic and international inbound and outbound shipments of medical devices, consumables, accessories and related materials.
  • Arrange collections and deliveries and prepare or verify shipping documents, including commercial invoices, packing lists, airway bills and customs documentation.
  • Liaise with suppliers, manufacturers, freight forwarders, customs agents and courier companies to ensure accurate and timely delivery.
  • Track shipments from dispatch to delivery, proactively resolve delays or discrepancies, and keep relevant internal teams and stakeholders informed.
  • Coordinate shipments against approved purchase orders, customer orders and partner requests.

Repair, Replacement & RMA Coordination:

  • Manage the logistics stages of repair, replacement and Return Material Authorization (RMA) cases: receive returned devices, verify package contents and serial numbers, record receipt, arrange shipment to the manufacturer, track repair or replacement, and coordinate return to the customer or partner.
  • Coordinate and track loan and replacement devices, including dispatch, return and inventory status updates.

Inventory & Warehouse Operations:

  • Maintain accurate logistics and inventory records, including serial numbers, shipment dates, courier references, proof of delivery, stock movements and service/RMA history.
  • Support warehouse operations, including receiving, inspection, labelling, safe storage, picking, packing, dispatch and periodic stock counts.
  • Monitor stock levels and work with Purchasing and other relevant departments to support timely replenishment and avoid shortages.

Compliance & Continuous Improvement:

  • Ensure logistics activities follow company procedures and applicable customs, transport, handling and shipping requirements.
  • Maintain organized electronic and physical records and contribute to the improvement of logistics procedures, checklists and workflows.

Required Experience, Skills & Qualifications:  

  • Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration or a related field.
  • At least two years of relevant experience in logistics, supply chain, warehouse operations, or a similar role.
  • Excellent command of written and spoken English.
  • Experience in international shipping, import/export procedures and customs documentation.
  • Experience working in an international and multicultural environment where English is the primary business language and regular collaboration with colleagues, customers and partners across different countries is part of the role.
  • Proven ability to manage multiple shipments, priorities, and deadlines in a fast-paced environment.
  • Strong organizational, planning, and problem-solving skills, with excellent attention to detail.
  • Strong written and verbal communication skills and the ability to coordinate effectively with internal and external stakeholders.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Valid work authorization within the European Union.

Advantageous:

  • Experience in the medical device, healthcare, pharmaceutical, technical service or other regulated industries.
  • Experience using ERP, CRM, inventory management or shipment tracking systems.
  • Knowledge of Greek and/or another European language.
