Job Description

Gravis Global is looking for a full-time Logistics Coordinator for our Rolling Meadows office.

We are looking for someone with a good overall understanding of logistics and freight who can coordinate domestic and international shipments, work with carriers, freight brokers, and 3PL partners, review freight invoices and costs, follow up on shipments, and help resolve transportation issues when they come up.

This is an office-based position and does not involve warehouse or production work.

The ideal candidate is organized, dependable, good with computers, comfortable communicating with carriers, brokers, 3PLs, vendors, and internal teams, and able to stay on top of multiple shipments and follow-ups at the same time.

About the Role

The Logistics Coordinator will help manage the day-to-day transportation and freight needs of the company.

This person will work with carriers, freight brokers, 3PL warehouses, vendors, customer service, and internal operations teams to make sure shipments are scheduled correctly, inventory and shipment information is accurate, paperwork is complete, freight costs are reviewed, and any problems are followed through until they are resolved.

We are looking for someone who understands freight overall and can do more than just book shipments. The right person should be able to manage carrier and 3PL communication, identify issues, follow up on problems, review costs, and help improve how we manage logistics overall.

Key ResponsibilitiesFreight Coordination

  • Schedule and coordinate domestic and international shipments.
  • Work directly with freight carriers, brokers, 3PLs, warehouses, and vendors.
  • Request and compare freight quotes when needed.
  • Book LTL, truckload, parcel, and other transportation services.
  • Confirm pickup and delivery appointments.
  • Track shipments from pickup through final delivery.
  • Follow up on delayed, missed, or problem shipments.
  • Communicate shipment updates to internal teams.

3PL Coordination

  • Communicate regularly with third-party logistics providers and outside warehouses.
  • Coordinate inbound and outbound shipments with 3PL locations.
  • Confirm inventory availability and shipment status with 3PL partners.
  • Follow up on receiving, shipping, inventory, and documentation issues.
  • Make sure 3PL shipment and inventory information matches internal company records.
  • Work with 3PL partners to resolve shortages, discrepancies, delays, or other operational issues.
  • Maintain good working relationships with 3PL contacts.
  • Help review 3PL performance, service, and related costs.

Carrier & Broker Management

  • Communicate regularly with carriers and freight brokers.
  • Maintain good working relationships with transportation providers.
  • Follow up on missed pickups, late deliveries, service issues, and other freight problems.
  • Help find alternative carriers or transportation options when needed.
  • Review carrier pricing and service.
  • Assist with resolving disputes or billing issues with carriers and brokers.

Freight Costs & Invoices

  • Review freight quotes and transportation costs.
  • Compare freight charges against quoted or expected costs.
  • Review carrier, broker, and 3PL invoices for accuracy.
  • Follow up on incorrect charges, duplicate invoices, accessorial charges, or other billing issues.
  • Help identify opportunities to reduce freight and logistics costs.
  • Maintain freight cost information and basic transportation reports.

Shipping Documentation

  • Review Bills of Lading (BOLs), Proof of Delivery documents, shipping instructions, and other transportation paperwork.
  • Make sure shipping documentation is complete and accurate.
  • Follow up on missing BOLs, PODs, invoices, or shipment documents.
  • Maintain organized electronic records of freight and shipping documents.
  • Assist with international shipping documentation when needed.
  • Coordinate documentation with carriers, brokers, and 3PL locations.

Shipment Issues / Claims

  • Help resolve damaged, lost, delayed, refused, or short shipments.
  • Work with carriers, brokers, 3PLs, customers, vendors, and internal teams to resolve transportation issues.
  • Assist with freight claims and supporting documentation.
  • Track open issues and follow up until they are completed.
  • Communicate clearly when shipment problems may affect customers or operations.

Reporting & Systems

  • Enter and update shipment information in NetSuite, transportation systems, Excel, and other company systems.
  • Maintain accurate shipment, inventory, freight, and 3PL records.
  • Prepare basic freight, cost, carrier, 3PL, and shipment reports.
  • Review open shipments and identify anything requiring follow-up.
  • Help identify inventory or shipment discrepancies between company systems and 3PL records.
  • Help improve logistics processes, reporting, and overall organization.

Qualifications

  • Previous experience in logistics, transportation, freight coordination, shipping, supply chain, or a similar position is preferred.
  • Experience working with freight carriers and brokers is preferred.
  • Experience working with 3PL providers or outside warehouses is preferred.
  • Understanding of LTL and truckload freight is preferred.
  • International freight experience is a plus.
  • Experience reviewing freight invoices, quotes, transportation costs, or 3PL charges is a plus.
  • Experience with BOLs, PODs, and shipping documentation is preferred.
  • Basic to intermediate Excel skills.
  • Comfortable using Outlook, email, and other computer systems.
  • NetSuite experience is a plus but not required.
  • Strong communication and follow-up skills.
  • Organized, dependable, and detail-oriented.
  • Able to manage multiple shipments and priorities at the same time.
  • Comfortable communicating with carriers, brokers, 3PLs, warehouses, vendors, and internal departments.
  • Able to identify problems and follow through until they are resolved.
