SUMMARY:
The Logistics Coordinator serves as the central link between sales and production, ensuring the seamless execution of bespoke handwoven rug orders from loom to final delivery. This role is responsible for aligning client expectations with production realities, maintaining clear communication across all stakeholders, and upholding the standards and timelines expected of a luxury brand. Working closely with sales consultants, looms, and logistics partners, the Logistics Coordinator ensures that each piece is delivered with precision, efficiency, and attention to detail. Initially, the candidate will be based in the Noordhoek studio, working closely with the sales team to gain a thorough understanding of sales processes, client requirements, and purchase order workflows. This hands-on exposure is key to building the context required to effectively bridge sales and production. Following this onboarding phase, the role will transition to being based at our loom in Westlake, where the candidate will take full ownership of logistics coordination and ensuring the efficient delivery of all orders.
Requirements
- Proven experience in logistics, production coordination, or supply chain roles
- Strong understanding of freight, customs, and international shipping processes
- Excellent organizational and coordination skills, with the ability to manage multiple bespoke orders simultaneously
- Strong communication skills and confidence working across production teams and client-facing teams
- Proficiency in Google and MS Office
- Proficiency in Monday.com or similar project management tools, as well as spreadsheets
- Ability to operate in a fast-paced, detail-driven environment
Key Responsibilities
- Act as the primary interface between sales and production, ensuring clear communication of timelines, specifications, and expectations
- Communicate regularly with looms to track production progress and provide accurate, timely updates to internal stakeholders
- Take ownership of loom purchase orders, including creation, tracking, and proactive follow-ups
- Manage and coordinate all freight, customs, and delivery processes to ensure smooth and timely execution
- Oversee installation logistics where required, ensuring alignment with client timelines and project requirements
- Maintain and manage the logistics management platform (Monday.com), ensuring all project data is accurate and up to date
- Monitor order progress end-to-end, identifying risks early and proactively resolving delays or bottlenecks
- Provide sales teams with clear visibility on order status to support client communication
- Generate and present weekly logistics reports, summarizing production progress, shipment status, and key updates
