Allstates WorldCargo is seeking a detail-oriented and customer-focused Logistics Coordinator to join our ITAD/Reverse Logistics team. This role is responsible for managing assigned customer accounts, coordinating the successful execution of reverse logistics shipments, and ensuring accurate and timely billing activities. The ideal candidate has experience in transportation operations, account management, vendor coordination, and billing, with the ability to make sound decisions in a fast-paced environment.

In this role, you will work closely with customers, vendors, internal departments, and service providers to ensure shipments are executed efficiently while maintaining a high level of customer satisfaction and operational excellence.

Key Responsibilities:

Customer Relationship Management

  • Build and maintain strong relationships with assigned customers, serving as their primary point of contact for logistics-related matters
  • Understand customer needs, objectives, and challenges to effectively support their logistics requirements
  • Provide regular shipment updates and maintain clear communication regarding delays, service interruptions, and resolutions
  • Address customer inquiries, concerns, and complaints promptly and professionally
  • Investigate service issues, implement corrective actions, and communicate outcomes to customers
  • Identify opportunities to expand existing customer relationships through additional service offerings
  • Maintain a proactive approach to customer service by anticipating customer needs and offering solutions
  • Shipment Coordination & Operations
  • Process a minimum of eight (8) orders and/or quotes per day
  • Acknowledge quote requests within one (1) hour of receipt and provide completed quotes within twenty-four (24) hours or by the next business day
  • Prepare accurate and competitive pricing while adhering to established markup and billing guidelines
  • Source and utilize qualified vendors through approved platforms, including load boards and WorldTrak
  • Coordinate shipment requirements with vendors, including handling instructions, equipment specifications, pickup schedules, pallet labeling, customer contacts, and packing material requirements
  • Provide vendors with written instructions and account-specific requirements to ensure successful execution
  • Coordinate and monitor shipments from pickup through delivery, proactively addressing service disruptions as needed
  • Monitor vendor pickups during designated service windows and maintain a minimum pickup success rate of 98%
  • Monitor market conditions and pricing trends to support competitive quoting practices
  • Train and support vendors in the use of company scanning technology and related systems
  • Collaborate with internal departments to ensure seamless execution of customer shipments
  • Exercise sound judgment when making operational and financial decisions for assigned accounts while maintaining accountability for outcomes

Billing & Financial Management

  • Generate accurate customer invoices based on shipment details, rates, and contractual agreements
  • Review shipment documentation to ensure billing accuracy, including freight charges and accessorial expenses
  • Verify billing information, including vendor tariffs, customer tariffs, freight rates, discounts, and accessorial charges
  • Compare vendor quotes against final shipment details to validate vendor invoices and identify discrepancies
  • Address erroneous vendor charges and facilitate timely resolution
  • Ensure all completed deliveries are billed within four (4) business days following delivery completion
  • Verify equipment usage and packing materials utilized during shipment execution and bill customers accordingly
  • Coordinate with internal departments to obtain information necessary to complete billing activities
  • Communicate effectively with customers regarding billing inquiries, invoice clarification, and dispute resolution
  • Identify opportunities to improve billing processes and recommend enhancements that increase efficiency and accuracy
  • Participate in process improvement initiatives and system enhancement projects as assigned
  • Performance & Team Contribution
  • Meet or exceed established performance metrics related to customer satisfaction, revenue, profitability, invoice accuracy, and billing timeliness
  • Maintain accurate and timely data entry within company systems
  • Support a positive, collaborative team environment and contribute to continuous improvement initiatives
  • Perform other duties as assigned

Requirements:

Education & Experience

  • Associate degree in Business, Logistics, Supply Chain Management, or a related field, or an equivalent combination of education and relevant work experience
  • Minimum of one (1) year of experience in transportation, dispatching, account management, billing, freight forwarding, or a related logistics environment
  • Strong understanding of freight forwarding operations, transportation modes, and industry practices
  • Knowledge of billing processes, including freight rates, vendor tariffs, customer tariffs, and accessorial charges
  • Experience working with transportation management systems and operational software platforms
