Spares in Motion is a fast-growing international company dedicated to helping wind turbine owners and operators source spare parts for their turbines. We provide specialized procurement services to companies that perform wind turbine maintenance across Europe, Asia, North America, and numerous other regions worldwide. In addition, Spares in Motion operates as the leading online marketplace for the wind turbine sector, connecting buyers and suppliers for both spare parts and component repair services. Due to our continuous growth, we are looking for a second Logistics Coordinator to support our current logistics team in Rotterdam.
Your Role
The Logistics Coordinator will be responsible for overseeing and managing all physical goods flows, ensuring efficient collection from suppliers and timely transport of goods to our customers worldwide.
Please note that Spares in Motion does not operate its own fleet or asset-based shipping arrangements; 100% of our transport and customs clearance operations are outsourced to external transport companies and freight forwarders. Your primary responsibility is to act as the essential link between our suppliers, clients, and transport partners, ensuring all shipments—ranging from small boxes and pallets to full containers—are organized efficiently.
Your core tasks will include:
- Organizing international transport by securing spot quotes from freight forwarders or making bookings directly in carrier portals (such as DSV or FedEx).
- Arranging the collection of goods from our suppliers when they are ready (internationally).
- Proactively informing customers when their goods are ready for collection for orders with EXW or FCA Rotterdam Incoterms, and subsequently cooperating with their designated transport companies to ensure a timely and smooth pickup.
- Preparing all necessary shipping and transport documentation required for seamless transport, including the paperwork needed by external brokers for import and export customs clearance.
- Managing complex drop-shipment processes from start to finish (e.g., coordinating the international direct shipment of a major component like a gearbox from our supplier straight to a customer).
- Coordinating occasionally with specialized carriers for the transport of Dangerous Goods (DG), ensuring the correct safety data sheets are available.
- Coordinating closely with our dedicated warehouse team, who handles the physical checking, repacking, and consolidation of goods.
- Communicating effectively with customers, suppliers, and international transport companies to ensure a seamless logistics process.
Requirements
Characteristics and qualifications of the Logistics Coordinator are:
- Experience: Preferably 3 years of experience in a similar logistics role or working directly for a transportation/freight forwarding company.
- Languages: Fluent in English (written and verbal) is a must; knowledge of the Dutch language is a plus.
- Technical Knowledge: Deep knowledge of Incoterms is a strict requirement; familiarity with customs documentation, export regulations, and occasional Dangerous Goods compliance is a major plus.
- Skills: Customer service oriented, structured, highly accurate, and capable of working under pressure.
- Location: Strong preference for a candidate living in or around the Rotterdam area.
- Education: Secondary vocational education (MBO) or 3 years of relevant working experience.
