Job Summary:
The Import/Export Officer is responsible for coordinating and managing all import and export activities to ensure the timely, accurate, and compliant movement of goods. The role involves processing shipping documentation, coordinating with customs brokers, freight forwarders, suppliers, and government agencies, while ensuring compliance with local and international trade regulations.
Key Responsibilities:
- Coordinate import and export shipments from origin to destination.
- Prepare, review, and process shipping and customs documentation, including:
- Commercial Invoice
- Packing List
- Bill of Lading / Air Waybill
- Certificate of Origin
- Import and Export Permits
- Liaise with customs brokers, freight forwarders, shipping lines, airlines, and government agencies.
- Ensure compliance with customs regulations, trade laws, and company policies.
- Monitor shipment status and provide timely updates to internal stakeholders.
- Coordinate with suppliers and vendors to ensure accurate shipping schedules and documentation.
- Process import and export permits and monitor their validity.
- Resolve shipment delays, customs issues, and documentation discrepancies.
- Monitor freight costs and recommend cost-effective shipping solutions.
- Maintain accurate records of import/export transactions and shipping documents.
- Prepare reports on shipment status, logistics costs, and import/export activities.
- Support inventory planning by ensuring on-time delivery of imported materials.
- Stay updated on changes in customs regulations and international trade requirements.
Qualifications:
- Bachelor’s degree in Customs Administration, Logistics, Supply Chain Management, Business Administration, International Trade, or a related field.
- Licensed Customs Broker is an advantage but not required.
- At least 4-5 years of experience in import/export operations, logistics, or customs documentation.
- Experience dealing with customs brokers, freight forwarders, and shipping companies.
- Knowledge of Philippine Customs regulations and international shipping procedures.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Experience with ERP or logistics management systems is an advantage.
- Strong organizational and documentation skills.
- Excellent communication and negotiation skills.
- Ability to manage multiple shipments and meet deadlines.
- High attention to detail and problem-solving skills.
