Monday to Friday 8:00 – 17:00

We are seeking an organized and driven Documentation Representative who will effectively develop and implement company policies and enhance the efficiency of our operations.

JOB DUTIES:

  • Prepare and process import/export documentation according to customs regulations, laws, and procedures.
  • Liaise with freight forwarders, shipping lines, customs brokers, and other relevant authorities.
  • Monitor and track shipments to ensure on-time delivery and resolve any issues that arise.
  • Verify shipping documents, including bills of lading, commercial invoices, packing lists, certificates of origin, and insurance certificates.
  • Maintain accurate and up-to-date records of all import/export transactions.
  • Ensure compliance with international trade laws and regulations (e.g., Incoterms, HS codes, duties & tariffs).
  • Coordinate with internal departments (procurement, warehouse, finance) to ensure the timely release and delivery of goods.
  • Handle Letters of Credit (LC), bank documentation, and other financial aspects related to international trade.
  • Keep abreast of changes in customs regulations, trade agreements, and logistics practices.
  • Report to and assist the COO in daily tasks and duties
  • Ensure company policies align with and advance business objectives
  • Analyze and maintain operational data
  • Develop improved business functionality that increases profits
  • Maintain positive client and vendor relationships
  • Develop and implement human resources practices

REQUIREMENTS & QUALIFICATIONS

  • Bachelor’s degree in International Business, Supply Chain, Logistics, or related field.
  • 2–5 years of experience in import/export documentation or logistics operations.
  • Strong knowledge of customs procedures, Incoterms, and international shipping documentation.
  • Experience working with shipping and freight systems or ERP software (e.g., SAP, Oracle, etc.).
  • Attention to detail and excellent organizational skills.
  • Strong communication and coordination skills.
  • Ability to work under pressure and manage multiple shipments simultaneously.
