Overall job purpose:

A Specialist is responsible for the perfect execution of shipments in

his/her area of responsibility. They will support the customer, sales

and network with outstanding support and guidance whilst

ensuring they undertake their shipments in line with all processes

and policies to ensure a successful result.

Qualifications:

 Extensive knowledge of ocean and air import and export

procedures

 Good administrative skills

 Good communication skills

 Good time-management

 Results driven and attention to details

Main tasks & key responsibilities:

 Manages the import and export & process

 Export

 Arranges collection from the pick-up point

 Request necessary documents to facilitate the export

 Books the shipment with the carrier / Airline

 Creates export documentation (BL / AWB)

 Manages the handling agent

 Does or manages the customs clearance

 Manages any unforeseen issues with the export

 Sends pre alert once the shipment departs

 Invoices the destination or the customer

 Accrues all relevant cost on the file

 Manages the vendor invoices through batch flow

 Ensures the vendor statements are managed properly

 Monitors the shipment to destination

 Updates on any delays

 Import

 Receives the inbound pre alert

 Schedules the delivery

 Align with the consignee and obtains necessary info to

facilitate the import

 Does or manages the inbound customs clearance

 Bl release , prep documents and handover DO to customer

agent

 Keeps customer updated on the process

 Obtains the POD

 Invoices the Origin or the customer

 Accrues all relevant cost on the job file

 Manages the vendor invoices through batch flow

 Ensures the vendor statements are managed properly

 Generic

 Updates the mandatory data and ensure data quality in the

operating system AS400

 Follows SOP or IOP , communicates important processes with

Agents and Vendors

 Manages the KPI’s

 Follows up on quotes and price requests

 Identifies business opportunities and passes to Sales

 Adherence to the Quality system , ISO 9001,14001 & GDP

standards and Health and safety policies.
