Position Overview

The Drayage Coordinator is responsible for coordinating the day-to-day movement of import and export containers through the Ports of Los Angeles and Long Beach, ensuring containers are picked up, delivered, returned, and managed efficiently while maximizing the utilization of company-owned trucks, chassis, and trailers.

This position serves as a critical link between drivers, dispatch, terminals, steamship lines, customers, warehouses, and internal operations teams. The ideal candidate is highly organized, comfortable working in a fast-paced environment, and understands the urgency and operational requirements associated with port drayage.

The position requires strong communication skills, attention to detail, and the ability to proactively identify and resolve issues before they impact service, equipment utilization, or customer commitments.

Key ResponsibilitiesPort & Drayage Operations

  • Coordinate daily import and export container movements through the Ports of Los Angeles and Long Beach.
  • Monitor container availability, holds, appointments, cutoffs, last free days, and return locations.
  • Coordinate container pickups and deliveries with drivers and dispatch.
  • Schedule and manage appointments with terminals, rail ramps, warehouses, and customer facilities.
  • Monitor terminal conditions, congestion, closures, appointment availability, and operational changes.
  • Track container status from port availability through final delivery and empty return.
  • Coordinate empty container returns according to steamship line instructions.
  • Proactively identify containers approaching Last Free Day (LFD) and coordinate recovery plans to minimize detention and storage exposure.
  • Monitor demurrage, detention, per diem, storage, chassis, and other accessorial risks.
  • Resolve port, terminal, appointment, documentation, and equipment issues quickly.

Asset-Based Transportation Coordination

  • Coordinate the utilization of company-owned tractors, chassis, and trailers supporting drayage operations.
  • Maintain visibility of company equipment throughout the daily operation.
  • Coordinate equipment positioning to ensure assets are available where and when required.
  • Minimize empty miles, unnecessary repositioning, and equipment downtime.
  • Coordinate drop-and-hook operations when applicable.
  • Track equipment that remains at customer facilities, warehouses, terminals, or other locations.
  • Communicate equipment shortages, maintenance issues, and operational constraints to management.
  • Assist in maximizing daily truck utilization and driver productivity.

Driver & Dispatch Coordination

  • Communicate daily assignments, pickup information, delivery instructions, and appointment requirements to drivers.
  • Provide drivers with accurate container, booking, terminal, and customer information.
  • Monitor driver progress and proactively address delays.
  • Coordinate recovery plans when a driver is delayed, misses an appointment, encounters terminal issues, or experiences equipment problems.
  • Maintain continuous communication with drivers during critical port moves.
  • Escalate operational issues when they may affect customer service, appointment compliance, or equipment utilization.

Customer & Carrier Communication

  • Communicate directly with customers regarding container status, pickup schedules, delivery appointments, delays, and exceptions.
  • Provide proactive updates rather than waiting for customers to request status.
  • Coordinate with steamship lines, terminals, warehouses, and other transportation partners.
  • Maintain professional relationships with customers and operational partners.
  • Escalate service failures or recurring operational issues to management.

Documentation & Systems

  • Maintain accurate records of container numbers, chassis numbers, appointments, pickup and delivery times, terminal information, and empty returns.
  • Update transportation management and tracking systems throughout the shipment lifecycle.
  • Ensure proof of delivery and other required documentation is properly captured.
  • Monitor and reconcile operational information between customer portals, terminal systems, TMS platforms, and internal tracking tools.
  • Maintain accurate records required for billing, detention, accessorials, and customer reporting.
  • Assist with daily and weekly operational reporting.

QualificationsRequired

  • 2+ years of experience in transportation, drayage, dispatch, freight, or logistics operations.
  • Working knowledge of the Ports of Los Angeles and Long Beach.
  • Understanding of container drayage operations and terminal procedures.
  • Strong organizational and multitasking skills.
  • Ability to work in a fast-paced, time-sensitive environment.
  • Strong communication skills, both written and verbal.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Ability to work independently while coordinating with multiple departments.
  • Strong problem-solving and decision-making skills.
  • Ability to prioritize multiple loads and operational issues simultaneously.

Preferred

  • Experience working for an asset-based trucking company.
  • Experience with import/export container transportation.
  • Experience with TMS, GPS/tracking, or transportation management systems.
  • Experience working with terminal appointment systems.
  • Knowledge of steamship line procedures and container return requirements.
  • Knowledge of detention, demurrage, per diem, chassis, and storage processes.
  • Experience coordinating company-owned equipment and drivers.
  • Bilingual English/Spanish is a plus.

Ideal Candidate

The ideal candidate is someone who takes ownership of the operation rather than simply moving information between departments.

This person should be comfortable picking up the phone, communicating directly with drivers and customers, finding solutions, and making decisions quickly when something goes wrong.

A successful Drayage Coordinator understands that port operations are constantly changing and that delays can quickly create additional costs. They should therefore be proactive in identifying risks, managing container deadlines, protecting company assets, and keeping customers informed.

Work Environment

This is a fast-paced transportation operations position supporting daily drayage activity in the Long Beach/Los Angeles market. The position requires frequent communication with drivers, customers, terminals, warehouses, dispatchers, and management.

The successful candidate must be comfortable managing changing priorities and responding quickly to operational exceptions throughout the day.
