Dispatch Manager Jobs in Miami-Fort Lauderdale Area at All In Xpress LLC

Title: Dispatch Manager

Company: All In Xpress LLC

Location: Miami-Fort Lauderdale Area

Company Description All In Xpress is a transportation and guest logistics company headquartered in Miami, Florida, with operations and offices in multiple locations. We provide a wide range of ground transportation solutions, including cruise line guest and crew transportation, airport transfers, corporate transportation, hotel shuttle operations, group and event transportation, and premium long-distance intercity service. No matter the service, our mission is the same: deliver a safe, reliable, and elevated experience that makes us a true extension of our clients' teams.

As part of our transportation portfolio, All In Xpress operates a premium long-distance intercity service. We run modern coaches and hold the entire journey to a higher standard than most people expect from intercity travel: clean vehicles, departures that leave on time, and an experience where passengers feel genuinely looked after from the moment they step on board until they reach their destination.

Elevating the customer experience is the point of everything we do. A great ride isn't just getting there safely—it's the small things, done consistently, that make someone choose us again and tell a friend. We care about people, and that goes both ways: the passengers we serve and the team members who make every trip possible. We're looking for people who take pride in their work, embrace professionalism, and treat every passenger the way they'd want a family member treated on a long journey.

Role Description We’re hiring a Dispatch Manager to run the day-to-day operations of our Miami–New York line. You’re the person drivers and management all count on to keep trips staffed, tracked, and running on time, and to make the right call fast when something goes sideways on the road.

This is a hands-on operations role. Our coaches run long-distance and overnight, including weekends, so the job comes with on-call coverage and the judgment to solve problems in real time. If you like being at the center of a moving operation and taking ownership of it, this is that seat.

What you’ll do

•   Build and manage schedules. Create driver and coach schedules and rotations across our seasons, keeping every assignment within FMCSA hours-of-service limits and giving drivers the rest they need.

•   Assign crews and coaches. Pair drivers and assign vehicles to each trip, and keep those assignments current in our operations tools and the network partner’s portal.

•   Monitor trips live. Track coaches in real time, watch for delays, and keep every trip on schedule.

•   Be the point of contact. Serve as the reachable contact for the line before departures and after trips, for drivers and traffic control alike.

•   Handle disruptions. Respond fast to any unexpected issues including, driver call-outs, and delays; arrange replacement coaches and coordinate rebooking so passengers still get where they’re going.

•   Keep data accurate. Maintain driver and vehicle records, license and medical-certificate expirations, and trip data in our systems portal, on time and error-free.

•   Coordinate ground logistics. Line up cleaning, fueling, and maintenance around turnarounds so coaches are ready to roll.

•   Manage accessible travel. Confirm a lift-equipped coach and a trained driver whenever a passenger books wheelchair travel, and notify the partner as required.

•   Support compliance. Help keep driver qualification files, hours-of-service logs, and DOT records complete and audit-ready.

•   Track reimbursable costs. Keep documentation for tolls and similar costs so nothing owed to the company gets missed.

Lead the driver team. Communicate schedules clearly, handle day-to-day driver questions, and set the tone for professionalism and safety

Qualifications

•   Transportation dispatch or fleet operations experience (motorcoach, bus).

•   Working knowledge of FMCSA hours-of-service and DOT compliance (strongly preferred).

•   A strong organizer under pressure. You can juggle schedules, people, and problems at once and stay calm doing it.

•   A clear communicator with drivers, management, and outside partners.

•   Comfortable with software. Dispatch/scheduling tools, spreadsheets, and web-based systems.

•   Available for on-call coverage, including nights and weekends, since our coaches run around the clock.

•   Experience level: 2+ years in a dispatch or transportation operations role.

-CDL and driving experience a plus, not required.

Schedule & work environment

•   Based at our Miami operation.

•   Full-time, with on-call responsibilities outside standard business hours.

•   Fast-paced — expect to make time-sensitive decisions every day.
