Position Summary
This position is responsible for activities related to Import shipments (Air and Ocean).

The ideal candidate must be able to work in a fast-paced environment while maintaining clear and professional communication with customers, logistics service providers, and management to ensure that operations meet goals and objectives.

Job Description

Coordinate import activities, including reviewing documents received from overseas, tracking incoming shipments with steamship lines, creating arrival notices, and arranging customs clearance with brokers.
Communicate with importers, truckers, and carriers to coordinate shipments efficiently.
Manage delivery instructions and ensure timely pickup and drop-off of shipments.
Ensure compliance with U.S. Customs regulations, CBP policies, and other government agency requirements (e.g., FDA, USDA).
Prepare and process billing, including generating invoices, assembling billing packages, maintaining accurate records, and sending invoices via email clients.
Monitor and maintain Accounts Receivable (AR) by ensuring timely payments from customers and following up on outstanding balances.
Investigate and resolve billing disputes with customers by reviewing documentation, coordinating with internal teams, and providing clear explanations or adjustments as needed.
Track and maintain your personal Key Performance Indicators (KPIs) to measure service levels, accuracy, and efficiency.
Generate and analyze weekly performance reports, identifying trends, potential issues, and areas for improvement.
Proactively address operational issues impacting KPIs, working closely with internal teams, vendors, and customers to implement solutions.
Maintain and update customer records, reports, documentation, and databases to ensure accuracy and compliance.
Resolve customer inquiries and issues promptly while maintaining a high level of customer service and satisfaction.
Provide excellent customer service and relationship management, responding to inquiries, resolving issues, and ensuring client satisfaction.

Industry Experience & Knowledge

Minimum 2 years of experience in import operations with an NVOCC/Freight Forwarder.
Basic knowledge of Incoterms, U.S. Customs regulations, and government agency compliance.
Strong understanding of domestic and international geography, including major cities, countries, and ocean ports.
Experience in Accounts Receivable (AR) management, with the ability to handle billing disputes professionally.
Proficiency in KPI tracking and performance reporting, with the ability to identify trends and drive improvements.

Compliance & Regulations

Experience with customs brokerage coordination and import documentation, including Bill of Lading, Packing List, Commercial Invoice, and other regulatory paperwork.
Familiarity with U.S. Customs and Border Protection (CBP) regulations, FDA/USDA requirements, and compliance with other government agency policies.

Technology & Systems

Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with logistics software and trade management systems (e.g., CargoWise, SAP, or other TMS software) is a plus.

Performance Metrics & Expectations

Accuracy in documentation, timely coordination of shipments, and maintaining a high level of customer satisfaction.
Ability to analyze KPIs, generate performance reports, and identify areas for process improvement.

Job Type: Full-time

Pay: $4,000.00 – $4,333.00 per month
