About the Opportunity
We are hiring for a client in the freight forwarding and logistics industry that is expanding its operations in China.
This role will serve as a key administrative and financial support function, helping ensure accurate documentation, invoice verification, financial traceability, and cross-functional coordination across commercial, operations, pricing, and finance teams.
The successful candidate will play an important role in supporting internal processes while contributing to the company’s growth and operational expansion across Asia.
Key Responsibilities
Administrative & Office Support
• Coordinate with external accounting and HR service providers to support local administrative operations and compliance
• Support onboarding activities, including employee welcome processes and equipment handovers
• Assist with office and workspace administration to support daily operations
• Act as a point of contact for general administrative requests and facility-related matters
Invoice & Documentation Verification
• Verify the accuracy of incoming and outgoing invoices against contracts, assignments, and supporting documentation
• Investigate and resolve billing discrepancies with clients, suppliers, and internal teams
• Analyze and manage claims related to charges and logistics surcharges
Order & Cost Management
• Generate and validate orders with complete supporting documentation
• Consolidate and analyze costs, sales, and profitability by customer or service
• Monitor profitability risks and report variances when identified
• Maintain accurate assignment and transaction records
Rate & Platform Management
• Register and maintain rates on the Federal Maritime Commission platform
• Request, verify, and record client advances related to operational expenses
• Ensure compliance with regulatory and internal documentation requirements
Reporting & Document Control
• Maintain organized records and digital document backups
• Report inconsistencies and documentation issues to management
• Support accurate recordkeeping and audit readiness
Cross-Functional Support
• Support customer prospecting activities through LinkedIn, WeChat, email campaigns, databases, and other channels
• Assist with customer quotations and business development activities
• Participate in meetings with prospective local and international customers
• Support supplier negotiations and pricing activities
• Assist with spot market reviews and quotation support
• Provide operational assistance related to bookings, documentation, shipment tracking, Bill of Lading releases, and general coordination across Asia
• Collaborate with team members and support operational best practices across departments
Candidate Requirements
Mandatory Requirements
• Professional or technologist qualification in Foreign Trade, International Business, Administration, or a related field
• Course or diploma in International Logistics or Foreign Trade Finance
• Certification in Customs Platform Management
• Advanced English proficiency (B2–C1)
• 1–2 years of experience in document management
Preferred Qualifications
• U.S. visa holder
• Spanish language proficiency
• Experience with AMS and ISF transmissions (training can be provided)
• Additional training or certifications in International Logistics, Foreign Trade, or Customer Service
Compensation & Benefits
• Monthly Salary: USD 1,800 Gross
• Probation Period: 2 Months
• Social Contributions: In accordance with PRC labor regulations
• Annual Leave: Based on PRC statutory entitlement and employee tenure
• Paid Sick Leave: As per PRC labor regulations
• Medical Coverage: Through statutory social insurance
Additional Time Off:
• Birthday leave
• Half-day leave per month (based on tenure)
Bonus & Incentives
