POSITION SUMMARY
Reporting to the Director, National Events, the Coordinator, Events provides administrative, logistical, and operational support for Restaurants Canada’s trade shows, conferences, and corporate events. This role supports the coordination of event timelines, registration, exhibitor communications, vendor requirements, onsite logistics, documentation, and cross-functional follow-up to help ensure events are delivered smoothly and professionally.
The ideal candidate is detail-oriented, responsive, organized, and comfortable working in a fast-paced environment with competing deadlines. The Coordinator, Events plays an important support role in creating a positive experience for attendees, exhibitors, sponsors, vendors, and internal teams.
POSITION SCOPE
· Supports the planning and delivery of Restaurants Canada’s national trade show and other events throughout the year.
· Provides coordination and administrative support across registration, exhibitor services, logistics, vendors, volunteers, sponsors, and onsite operations.
· Works cross-functionally with marketing, sales, registration, programming, finance, and operations teams.
· Maintains accurate event information, documentation, schedules, and follow-up lists to support timely execution.
· Supports onsite event delivery including evenings and weekends during event periods.
· Escalates operational risks, stakeholder concerns, budget issues, and service challenges to either the Manager, Events or Director, National Events.
KEY ACCOUNTABILITIES
· Support event budget administration collecting quotes, maintaining records, and identifying discrepancies or cost concerns for review by the Manager, Events and/ or Director, National Events.
· Coordinate attendee registration, ticketing updates, guest lists, name badges, and related registration support.
· Support exhibitor communications, application tracking, booth information, deliverables, and onsite service requests.
· Maintain event schedules, production timelines, task lists, contact lists, run sheets, and planning documentation.
· Coordinate logistics for venues, suppliers, contractors, speakers, sponsors, volunteers, staff, and event partners as assigned.
· Support setup and coordination for stages, activations, competitions, pavilions, meeting rooms, signage, and event features.
· Assist with hotel room blocks, travel details, transportation logistics, and onsite staffing schedules.
· Prepare and distribute event communications, operational updates, exhibitor reminders, and internal briefing materials.
· Provide onsite event support, including registration assistance, volunteer coordination, exhibitor support, issue tracking, directional support, and coordination of supplies and materials.
· Monitor event inboxes, respond to routine inquiries, escalate complex issues, and ensure timely follow-up with stakeholders.
· Maintain accurate post-event records, feedback summaries, budget documentation, and lessons learned to support continuous improvement.
· Support the Manager, Events and Director, National Events with other event planning, administrative, and operational duties as required.
POSITION REQUIREMENTS
· 2+ years of experience in events, conferences, trade shows, hospitality, administration, or a related coordination role.
· Strong organizational skills and attention to detail.
· Ability to manage multiple priorities, deadlines, and stakeholder requests.
· Strong written and verbal communication skills.
· Comfortable working with registration systems, event platforms, CRM systems, spreadsheets, and shared project management tools.
· Proficiency in Microsoft Office and collaborative work platforms.
· Professional, service-oriented approach when working with attendees, exhibitors, vendors, sponsors, and internal teams.
· Strong problem-solving skills and ability to remain calm and organized in a fast-paced event environment.
· Ability to work flexible hours, including evenings and weekends during events.
· Occasional travel may be required.
Preferred:
· Experience supporting trade shows, B2B events, hospitality, foodservice, or association events.
· Experience with exhibitor services, registration platforms, floor plans, or onsite event operations.
Working Conditions:
Day-to-day work is performed in a normal office environment with limited risk. During trade show move-in, show days, and move-out, the role is performed onsite in an active event environment with increased exposure to operational risks, including noise, freight movement, equipment, temporary structures, high-traffic areas, and time-sensitive operational demands. The employee is expected to follow all venue, contractor, and health and safety procedures and escalate risks or unsafe conditions promptly.
Hybrid work environment with two (2) days work from home (Monday, Friday) and three (3) days per week in-office (Tuesday, Wednesday, Thursday); flexibility may be required based on operational need. During events, work will involve extended hours, evening/weekend work and may involve walking or standing for long periods of time. Restaurants Canada’s hybrid work environment is subject to regular reviews and could change.

Salary range: $58,851 – $72,314 per year (CAD), based on experience and qualifications.
