Job Description: Transportation Compliance Specialist is responsible for creating, implementing, and maintaining a company wide driver compliance and safety training program. The Transportation Compliance Specialist will also maintain all federal, state, local, and FM CSA regulatory compliance filings for the Owner Operator Fleet. We are looking for an experienced Transportation Compliance Specialist to manage all aspects of DOT compliance and safety training through JJ Keller, track and maintain safe hours of service for all Ole company drivers, and coordinate PM service for all company vehicles, whether leased, rented, or owned.
Responsibilities:
Maintain and update all Driver Qualification Files (includes insurance certificates, physicals, valid driver’s license, vehicle registration, etc.).
Provide training/seminars to all drivers, as applicable, under corresponding state and federal regulations.
Prepare and maintain records of all drug and alcohol tests (including random drug and alcohol screening), as required.
Ensure drivers are adhering to company rules and procedures in compliance with DOT regulations.
Responsible for all Federal, State, and Local operational regulatory filings.
Maintain and update a Safety Program that includes benchmarks for compliance with both company programs and DOT requirements.
Research Industry Best Practices and stay abreast of changes or developments in the industry that increase safety and add value to drivers, including identifying systems, technology, etc.
Prepare a written Fleet Management program detailing how the fleet is managed, including expectations, incentives, benefits, etc.
Establish Written Hiring Guidelines that assist in the identification of qualifications, testing, background checks, OMV, etc.
Establish onboarding processes and safety training sessions for all drivers and oversee all driver-related safety training.
Ensure all vehicle registration filings, including IFTA, UCR, and insurance, are current and updated.
Support analysis of HOS, Safety, and Maintenance compliance with applicable law and company policy.
Identify regulatory compliance risks/concerns and make recommendations or take corrective actions to implement solutions to improve controls.
Perform other job-related duties as assigned.
Organize and manage all company leased, rental, and owned vehicles.
Analyze and optimize training sessions with all company employees who drive company vehicles.
Hold safety meetings with all company drivers, DM, BDM, and TSR once a month and maintain records for DOT purposes.
Review and prepare safety topics that need to be covered in the monthly safety meeting with the Senior Transportation Manager, Assistant Transportation Manager, and Transportation Specialist.
Ensure safe and timely reporting of Hours of Service and take action to ensure accuracy.
Monitor Samsara ELD/HOS and notify management if tasks are not met.
Address and resolve any reported vehicle accidents and notify insurance.
Requirements:
Proven experience as Transportation Compliance (DOT HOUR OF SERVICE and maintaining Driver Qualification Files).
Ability to work with little supervision and track multiple processes.
Computer-savvy with a working knowledge of compliance software (JJ KELLER, SAMSARA, ELD).
Outstanding organizational and coordination abilities.
Excellent communication and interpersonal skills.
Associate degree or higher in business administration, supply chain management, or a relevant field.
Strong problem-solving skills.
