1. PURPOSE OF ROLE
The Assistant Logistics Manager supports end-to-end logistics operations for the Vietnam business with primary accountability for last-mile and outbound delivery performance, warehouse operations, and 3PL partner management. The role ensures equipment, machines, and accessories reach B2B customers and B2C end-users on time, in full, and in perfect condition. Import/export coordination experience is an advantage given the integrated manufacturing-to-market model.
2. KEY RESPONSIBILITIES
2.1 Delivery Management & Last-Mile Excellence
- Own the outbound delivery plan: schedule, route optimisation, and daily dispatch coordination for both B2B bulk shipments and B2C home-delivery orders across Vietnam.
- Monitor real-time delivery KPIs — on-time delivery rate (OTD), failed delivery rate, average lead time — and escalate deviations immediately.
- Coordinate white-glove delivery and installation services for gym/B2B clients, ensuring equipment assembly SLAs are met in line with sales contracts.
- Manage carrier and 3PL relationships: performance reviews, rate negotiations, issue resolution, and SLA enforcement.
- Handle customer delivery complaints, proof-of-delivery discrepancies, and damage claims; drive root-cause analysis and corrective actions.
- Track COD (cash-on-delivery) reconciliation and ensure alignment with the Finance team on payment collection from delivery agents.
2.2 Warehouse Operations
- Supervise daily warehouse operations including inbound receiving, putaway, storage layout, picking, packing, and outbound staging — ensuring accuracy and safety at all times.
- Maintain optimal inventory locations and bin management to minimise handling time for large fitness equipment (treadmills, rowing machines, racks, etc.).
- Enforce SOPs for goods receiving inspection: quantity check, quality inspection, and damage reporting in the ERP system.
- Oversee cycle counts and periodic physical inventory; reconcile ERP stock balances against physical count; report variances to Finance.
- Manage returnable packaging, equipment accessories, and spare-parts inventory in the warehouse.
- Ensure full compliance with warehouse safety regulations (PCCC/fire safety, forklift operation, rack load limits).
- Coordinate with the warehousing services partner (or equivalent 3PL) on space allocation, throughput targets, and contract compliance.
2.3 Import / Export Coordination
- Liaise with customs brokers and freight forwarders to manage import declarations for equipment and spare parts sourced from HQ factories.
- Ensure HS code classification, C/O documentation, and import duties are accurately processed; monitor preferential tariff applications to minimise duty costs.
- Coordinate export documentation for warranty-return or cross-border B2B shipments where applicable.
- Maintain up-to-date knowledge of Vietnam Customs Law, Ministry of Industry and Trade import licence requirements, and relevant MOIT/MOF circulars.
- Support HQ regional supply chain team with shipping documentation, packing lists, and commercial invoices for inter-company transfers.
2.4 Planning & Reporting
- Prepare weekly logistics performance reports covering delivery fulfilment rate, warehouse throughput, stock accuracy, and freight cost per unit.
- Support Sales and Customer Service with delivery commitment dates, order status updates, and priority order management.
- Contribute to S&OP meetings with logistics capacity input, seasonal peak planning (e.g. year-end gym outfitting, promotional campaigns).
- Track logistics cost against budget; identify opportunities to reduce freight, warehousing, and handling costs.
2.5 Cross-functional Collaboration
- Work closely with the Commercial Sales Director and Sales team to align delivery scheduling with customer commitments and B2B contract milestones.
- Coordinate with Finance on AR collections tied to delivery confirmation, COD settlements, and logistics invoice approvals.
- Interface with the HQ Supply Chain / Factory teams on production schedule, shipping readiness, and container loading plans.
- Support procurement in evaluating new logistics service providers and warehousing vendors.
4. QUALIFICATIONS & EXPERIENCE REQUIREMENTS
4.1 Essential
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum 3 to 5 years of progressive experience in logistics operations, with demonstrated hands-on responsibility for outbound delivery management and warehouse operations.
- Proven track record managing 3PL/carrier relationships and enforcing delivery SLAs in a product distribution environment.
- Experience with warehouse management systems (WMS) or ERP platforms (SAP, Oracle, or similar); proficiency in generating and analysing logistics reports.
- Strong problem-solving ability in delivery escalation scenarios: route failures, damaged goods, carrier delays, COD disputes.
- Proficient in Microsoft Excel for logistics tracking, cost analysis, and KPI reporting.
- Good English communication skills (written and spoken) for coordination with HQ teams and international freight partners.
4.2 Preferred / Advantageous
- Experience in import/export operations in Vietnam, including customs declaration procedures, HS code classification, and working with licensed customs brokers.
- Knowledge of Vietnam preferential trade agreements and duty optimisation practices.
- Background in consumer durables, fitness equipment, industrial goods, or any product category involving large/heavy-item last-mile delivery.
- Familiarity with B2B logistics requirements: project-based delivery, installation coordination, and multi-site rollout management.
- Experience managing or coordinating similar third-party warehouse service providers in Vietnam.
- Forklift operator licence or experience supervising forklift operations in a warehouse environment.
4.3 Competencies
