Job Summary
The Logistics Coordinator – Ocean & Air Import supports international freight operations by performing specialized, task-based activities that ensure the accurate, timely, and compliant movement of shipments. The role supports both Ocean Import and U.S. Air Import operations and requires strong attention to detail, organizational skills, and the ability to manage high-volume shipments and multiple stakeholders in a fast-paced environment.

What You Will Be Doing
Ocean & Air Import Operations
- Perform assigned Ocean Import and Air Import operational tasks while ensuring accuracy, efficiency, and compliance with established Standard Operating Procedures (SOPs).
- Communicate and coordinate with overseas agents, carriers, airlines, truckers, customers, and internal teams regarding shipment activities.
- Confirm bookings and coordinate shipment arrangements with agents and carriers.
- Monitor and update shipment milestones, including ETA, ETD, vessel schedules, flight details, cargo availability, release status, and other critical shipment information.
- Track shipments through carrier and airline websites and internal Transportation Management Systems (TMS).
- Prepare, review, and distribute Arrival Notices to customers and relevant stakeholders within established SLAs.
- Provide required shipment documentation to the Customs Brokerage (CHB) team to support customs clearance activities.
- Confirm cargo release, availability, and shipment status and communicate updates to relevant stakeholders.
- Monitor shipments undergoing customs examinations and coordinate updates with internal teams, carriers, customs brokerage teams, and other external stakeholders.
- Process shipment diversion requests and coordinate operational changes while ensuring timely execution.
- Coordinate and dispatch U.S. truckers for shipment pickups and deliveries.
- Process and coordinate Terminal Handling Charges (THC) and other carrier-related payments.
- Validate invoices, freight charges, and payment requirements prior to processing.
- Support regulatory compliance activities related to international freight documentation and operational requirements.
- Maintain accurate shipment records, documentation, and transaction details within CargoWise, TMS, and other operational platforms.
- Monitor shipment status and proactively communicate operational updates, delays, exceptions, or potential service issues.
- Meet daily productivity, quality, accuracy, and service level targets.
- Support multiple Ocean and Air Import functions through cross-training and flexible task assignment.
- Collaborate with Operations, Customer Service, Accounting, Customs Brokerage, Compliance, and other internal departments to ensure seamless shipment execution.
Required Skills & Experience (To excel in this role, you should possess):
- High School Diploma or equivalent required; an Associate’s or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related field is preferred.
- 1–3 years of experience in Freight Forwarding, International Logistics, Ocean Import, Air Import, Ocean Export, Supply Chain, or Transportation Operations.
- Prior experience handling U.S. Air Import shipments is strongly preferred/required based on operational assignment.
- General understanding of international freight forwarding, import processes, shipment documentation, and transportation operations.
- Familiarity with Ocean and/or Air Import shipment processes, including booking, tracking, cargo release, customs documentation, and delivery coordination.
- Strong attention to detail with the ability to process high volumes of operational transactions accurately.
- Excellent organizational and time management skills, with the ability to prioritize and manage multiple shipments and tasks simultaneously.
- Strong communication and coordination skills when dealing with multiple internal and external stakeholders.
- Ability to work effectively under pressure while meeting strict deadlines and service level agreements.
- Proficiency in Microsoft Office applications, particularly Outlook, Excel, and Word.
- Ability to quickly learn new systems, operational processes, and standard operating procedures.
- Proactive, organized, detail-oriented, and comfortable working in a fast-paced logistics environment.
Nice to Have
- Experience using CargoWise or other Transportation Management Systems (TMS). CargoWise experience is a plus but is not mandatory.
- Experience supporting both U.S. Air Import and Ocean Import operations within a freight forwarding environment.
- Experience coordinating with airlines, ocean carriers, overseas agents, customs brokers, and U.S. trucking providers.
- Familiarity with shipment milestone management, Arrival Notices, carrier/THC payments, customs examinations, cargo release, shipment diversions, and pickup/delivery coordination.
- Knowledge of international shipping documentation and U.S. customs clearance processes.
- Experience working with airline websites and carrier tracking platforms.
