Position Overview

The Ocean Export Coordinator will be responsible for managing the end-to-end operational lifecycle of ocean export shipments. This role serves as the critical link between domestic shippers, ocean carriers, overseas agents, and international consignees to ensure smooth outbound logistics.

Key Responsibilities

  • Manage and execute the daily operations of ocean export shipments from A to Z, ensuring full compliance with US Export regulations and international maritime laws.
  • Secure vessel bookings and coordinate directly with ocean carriers, NVOCCs, co-loaders, and domestic truckers to arrange timely cargo pick-up and port delivery.
  • Receive, prepare, and process critical export documentation, including Master/House Bills of Lading (MBL/HBL), Commercial Invoices, Packing Lists, and Certificates of Origin.
  • Ensure accurate and timely filing of Electronic Export Information (EEI/AES) via the Automated Export System.
  • Proactively monitor shipment statuses from origin to destination port, identify potential delays, and implement swift solutions to minimize demurrage and detention risks.
  • Provide exceptional service by delivering timely milestone updates, advising on shipping schedules, and resolving client inquiries efficiently.
  • Handle outbound billing, invoicing, carrier costing, and file closure accurately in accordance with company KPIs.

Requirements

  • 2+ years of hands-on experience in Ocean Export Operations within a freight forwarding environment.
  • Strong understanding of ocean freight documentation, Incoterms, FMC regulations, AES/EEI filing procedures, and port operations.
  • Prior experience handling specialized outbound commodities (such as beverages, perishables, or temperature-controlled cargo) is highly advantageous but not required.
  • Excellent communication skills with the ability to build strong relationships with carriers, drayage providers, and global clients alike.
  • High organizational skills and the ability to multitask effectively under tight documentation cut-offs and deadlines.
  • Proficiency in industry-standard freight forwarding software (e.g., CargoWise, CargoSphere) and Microsoft Office.
