We are seeking a detail‑oriented Accounts Receivable Specialist to join our accounting team and support our billing and collections processes. This role is essential to maintaining accurate financial records and ensuring timely payment for fuel deliveries and transportation services.
Position Overview
The Accounts Receivable Specialist is responsible for preparing invoices, posting payments, managing customer accounts, and resolving billing discrepancies. The ideal candidate will have experience in transportation, logistics, or fuel distribution and be comfortable working in a fast‑paced environment with frequent changes in pricing and delivery schedules.
Key Responsibilities
- Generate and issue invoices for fuel loads, freight hauling, and accessorial charges.
- Review Bills of Lading, delivery tickets, and dispatch records for billing accuracy.
- Monitor customer accounts and follow up on past‑due balances.
- Post and reconcile customer payments (ACH, wire, check, credit card).
- Maintain accurate aging reports and assist with collections.
- Communicate with customers regarding invoice questions or discrepancies.
- Coordinate with Dispatch and Operations to resolve billing issues.
- Apply fuel pricing updates, rack rates, and contract pricing.
- Assist with credit applications and customer account setup.
- Support month‑end closing and provide AR reporting as needed.
Qualifications
- 2+ years of Accounts Receivable experience (transportation or fuel industry preferred).
- Strong understanding of billing, invoicing, and reconciliation processes.
- Ability to interpret BOLs, delivery receipts, and fuel documentation.
- Proficiency with accounting software (QuickBooks, McLeod, TMW, or similar).
- Strong attention to detail and accuracy.
- Excellent communication and customer service skills.
- Intermediate Excel skills (VLOOKUP, pivot tables, formulas).
Preferred Skills
- Experience with fuel pricing, rack rates, and surcharges.
- Familiarity with fuel card systems (EFS, Comdata).
- Knowledge of DOT documentation and transportation compliance.
