Ship Smart Solutions Inc. is a growing freight brokerage and hybrid asset-based logistics company headquartered in Naperville, IL. We’re looking for a detail-oriented Accounting Specialist to join our team and help keep our billing and collections running smoothly.
Job Description
We are seeking an experienced Accounting Specialist with a strong background in freight brokerage billing to manage invoicing, collections, and reconciliation within our TMS (Descartes Aljex). The ideal candidate understands the unique billing challenges of the transportation industry and can hit the ground running with minimal training.
Responsibilities
- Process carrier and customer invoicing directly within Aljex, including rate confirmation matching and proof of delivery (POD) verification
- Bill and audit accessorial charges (detention, lumper fees, TONU, layover, fuel surcharges)
- Manage accounts payable and accounts receivable reconciliation
- Coordinate with factoring companies on receivables, as applicable
- Investigate and resolve EDI/API invoice disputes and chargebacks
- Maintain aging reports and drive collections follow-up on past-due accounts
- Communicate with carriers, customers, and internal ops teams to resolve billing discrepancies
- Support month-end close processes related to AP/AR
Qualifications
- 2+ years of accounting/billing experience in freight brokerage or transportation logistics (required)
- Direct experience with Descartes Aljex strongly preferred; experience with McLeod, Turvo, or Truckstop also considered
- Working knowledge of QuickBooks or similar general ledger software
- Comfortable managing high invoice volume and resolving carrier payment disputes
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills

Pay: Up to $72,000.00 per year
